Big 5 Global 2026, moving a delegation
A delegation does not travel like a single visitor. Eight people land on three flights, share two hotels and want to reach the same summit on time. This page is about that plan, with the public options named first and a private vehicle second.

The three summit days
Alongside the exhibition, the organiser, dmg events, lists three leadership summits at Dubai World Trade Centre (DWTC). The Big 5 Global Leaders’ Summit is on Monday 23 November, the LiveableCitiesX Summit on Tuesday 24 November, and the Big 5 FutureTech Summit on Thursday 26 November. Wednesday 25 November has no summit in the organiser’s list.
We could not find the summit start and end times, the rooms or the attendance rules in what the organiser has published. The organiser says a Delegate ticket includes one summit, and that tickets are sold on its own site. We sell no tickets, passes or summit places. Check the organiser’s programme for the hour you need to be inside before you fix any pick-up time.
The exhibition hours are firmer: Monday 11:00 to 18:00, Tuesday and Wednesday 10:00 to 18:00, Thursday 10:00 to 17:00. Visitors must be 21 or over. A delegation with a younger member should know that before booking flights, because the organiser admits no one under 21, even with a ticket.

Get a quotePublic options first
For most delegates the public network does the job, and the organiser’s travel page lays it out.
- Metro: World Trade Centre station on the Red Line, with the venue two minutes away according to the organiser. Show days are Monday to Thursday. We found no late-evening hours for the show, so check the RTA timetable page for your day.
- Ride-hailing: the organiser names Careem as its transport partner for attendees. Terms and codes are on the organiser’s page.
- Taxi: taxis wait outside the venue at all times and run on the meter, says the organiser.
- Bus: routes 27 and 29 stop outside the Novotel hotel, next to the Convention Gate entrance.
- Car park: several car parks serve DWTC, with a map on the organiser’s site.
Our comparison of ride-hailing, taxis and private transfers explains the trade-offs from the airport. When a group is four or fewer, that is often the end of the story.
When a private vehicle starts to make sense
We are Dubai Bus Services. We are not the organiser’s transport partner, and what follows is a separate, private, pre-booked service on your own timing.
The case for it is not the distance. It is the number of moving parts. Say six delegates fly in from the USA, Japan and the UK on different evenings, share a hotel in Downtown, and need to be together for the Monday summit. A taxi per person works until two people want to leave at once, or a bag of samples will not fit the boot. One vehicle on a written schedule removes that coordination.
Group leaders in this position tend to ask the same three questions. Who meets whom at the airport? When does the group leave the hotel each day? Who pays and in what form? Our ground transport checklist for a UAE event sets these out, and a passenger manifest template keeps the airport leg tidy. A company that wants one named account for several trips can read about corporate chauffeur terms.
Which vehicle for which head count
Seats are passenger seats, and the driver is not counted. Count luggage as well as people, because delegates often carry laptops, samples and a stand case on top of a suitcase.
| Group | Vehicle |
|---|---|
| 1 to 3 people | Executive sedan |
| 4 to 6 people | Luxury SUV |
| Up to 7 people | Mercedes V-Class |
| Up to 13 people | 13-seater van |
| Up to 16 people | Mercedes Sprinter |
| 22 to 30 people | 30-seater mini coach |
| Up to 50 people | 50-seater coach |
Our guides by group size, 9 to 13 people and 14 to 16 people, go into seating and bags in more detail. If a group sits close to a vehicle’s limit, we suggest the next size up rather than a tight fit.
Airport, hotel and DWTC in one quote
The cleanest way to book is one written quote that covers every leg: the airport pick-ups, the hotel to DWTC runs on the days you attend, and the departure. That way nobody works from three different emails.
Most overseas delegations land at Dubai International (DXB), and the road to DWTC takes about 10 to 15 minutes from Terminal 3, approximate, from OpenStreetMap routing with no traffic. Allow more on event days. Al Maktoum airport (DWC) is about 45 to 55 minutes away and Abu Dhabi airport 65 to 80, so tell us which airport each flight uses. Our UAE airports compared page explains the difference.
On arrival, a driver meets the group in the arrivals area with a name board, and we track each flight so an early or late landing moves the pick-up. For a party that lands together, the big group arrival guide and the terminals guide for group leaders cover the practical side. The airport chauffeur service page has the rest.
Hotel to DWTC is short from Downtown, 5 to 10 minutes, and from Business Bay about 10. From Dubai Marina or JBR it is 20 to 25 minutes, and from Palm Jumeirah 25 to 30. If your hotel is farther out, plan the morning around that figure rather than the venue’s opening time.
Drop-off and timing on the day
We do not know whether a coach, minibus or chauffeur car may stop at a particular point at DWTC during the show, and the organiser has not published coach rules that we could find. We agree the drop-off and collection point against the organiser’s current access plan before the day, and we never promise a gate or a bay.
Build a margin into any summit morning. A vehicle that leaves the hotel with 45 minutes in hand costs a delegation nothing, while one that leaves with 10 can cost a keynote. Agree a pick-up time with the group leader the evening before, and keep one named contact on both sides.
Thursday closes at 17:00, which suits an evening departure. Work back from the flight rather than from the summit, and our guide to night and early-morning flight transfers shows how a late departure is planned.
Before you travel
Entry rules depend on your passport. Check the official UAE government visa page, and read your own government’s travel advice page. Late November is peak season, so larger vehicles go early.
To ask for a quote, send the dates, the head count, the flights, the hotel and which days you attend. We reply with a fixed written quote before you accept. Use the booking page. If the organiser changes its programme or travel plan, its website is the current notice.

Frequently asked.
Quick answers for this trip.
Which days have summits at Big 5 Global 2026?
The organiser lists the Leaders’ Summit on Monday 23 November, the LiveableCitiesX Summit on Tuesday 24 November and the FutureTech Summit on Thursday 26 November. Start times are not published in what we could find.
Does a Delegate ticket include a summit?
The organiser says a Delegate ticket includes one summit. Tickets are sold on the organiser’s own site, and we sell none.
Can a 19-year-old colleague join the delegation?
Not at the show. The organiser admits visitors aged 21 and over only, even with a ticket.
Can you quote airport, hotel and venue legs together?
Yes. Send the flights, the hotel, the head count and the days you attend, and we reply with one fixed written quote before you accept.
How far is DWTC from Dubai Airport?
Our approximate model gives 10 to 15 minutes from Terminal 3, with no traffic. Allow more on show days.
Which vehicle fits a group of 12?
A 13-seater van fits 12 people, but check the luggage. With big cases or sample boxes, a Mercedes Sprinter gives more room.
Are you the organiser’s transport partner?
No. The organiser lists Careem as its transport partner. We are a private company, booked separately, and not appointed by the organiser or the venue.
Can a coach drop off at the summit entrance?
We do not assume so. Drop-off rules for coaches at DWTC are not published in what we found. We agree the point with the organiser’s current access plan before the day.
