GITEX Global for a team, moved as one.

Most people at GITEX Global 2026 can get to the venue on the Metro or the organiser’s shuttles, and for many that is the right answer. A delegation, an exhibitor crew or a buyer group with boxes and a fixed schedule has a different problem: ten people, one start time and no wish to count heads at three stations.

Start with what the organiser already runs

GITEX Global 2026 runs from 7 to 11 December. The one-day GITEX Summit is on Monday 7 December at Dubai World Trade Centre. The four-day Expo, with the conferences, is from Tuesday 8 to Friday 11 December at the Dubai Exhibition Centre in Expo City Dubai. The Expo moved there from DWTC, so check which day your people are attending before anything else.

The organiser’s Plan your visit page says the Dubai Metro Red Line connects both venues, with World Trade Centre station for the Summit and Expo 2020 station for the Expo. It lists a walk of approximately 5 to 10 minutes from the Expo station. It also lists dedicated event shuttles: direct DWTC to Dubai Exhibition Centre shuttles, overflow parking shuttles, and hotel and exhibitor shuttles that run through a Transportation Hub at the Expo venue. Careem and Uber are listed at both venues.

We are not the organiser’s transport provider and we are not part of the event. We do not sell tickets, passes, badges or exhibitor space. The organiser warns that shuttle routes and drop-off arrangements may change, so read its current page at gitex.com/plan-your-visit-2026 before you finalise anything. What follows is for the team that wants its own timing and its own vehicle on top of that.

Who this page is for

  • Exhibitor crews who arrive with laptops, roll-up banners and boxes, and who need to be on the stand together.
  • Delegations travelling as a group, such as a trade mission or a company sending a dozen staff from the same office.
  • Buyer groups. The organiser describes its Connect Buyer Programme as concierge-led, for C-suite executives and senior technology decision-makers, with one-to-one meetings set up for each executive. We are not part of that programme. We can move the executives to their meetings in a car or van, timed to the schedule they are given.

It is not for the single visitor staying next to a Metro station. For that person the train is hard to beat.

Build-up and breakdown: what we could not confirm

Exhibitors often ask first about the days before the show opens. We could not find the build-up or breakdown dates, or the doors-open times for crews, in anything the organiser has published. They are normally in the exhibitor manual or the stand contractor’s briefing, so that is where to look.

Once you have the dates, send them to us. We price each day separately on one written quote, so a larger vehicle on a heavy kit day does not force you to pay for the same coach on a quiet one.

Group size and the right vehicle

We price per vehicle, not per person, so the size of the vehicle matters. Here is how we usually match it.

GroupVehicleNotes
1 to 3 executivesExecutive sedan or luxury SUVMeeting-to-meeting runs, name board at the airport
4 to 7Mercedes V-ClassSmall team with cabin bags
Up to 1313-seater vanStand crew with a few boxes
Up to 16Mercedes SprinterMore room behind the last row
22 to 3030-seater mini coachCompany delegation, luggage in the hold
Up to 5050-seater coachLarge trade mission, one vehicle for everyone

We usually leave a few seats spare for late arrivals, so the team does not split across two vehicles because one colleague missed the first count. The vehicle size guide compares seats and luggage space in more detail.

Kit, samples and sample boxes

Laptops, roll-up banners, tablets, printed brochures and boxes of product samples fit in the hold of a coach or the rear of a van. Pallets and heavy freight do not belong on a passenger vehicle. Use a logistics company or your stand contractor for those.

Two practical points. First, tell us how many boxes and how big they are when you ask for a quote, because a V-Class with eight boxes is a different job from a V-Class with eight people. Second, keep valuables with a team member. The driver helps load, but the team keeps its own count.

A daily plan for a crew

The organiser lists opening times as Summit 9:30 to 5:00, Expo 10:00 to 5:00 and Conference 11:00 to 4:00, without an AM or PM mark and without a day-by-day split, so confirm them for your day on gitex.com. A crew usually works to a pattern like this.

  • Morning: one pick-up from the hotel or apartment at a time agreed the evening before, with the whole team counted at the door.
  • Drop-off: at the point the organiser allows for your vehicle type. We have not found a published rule on whether coaches and chauffeur cars may use the South Drop-Off or the Transportation Hub, so we check the organiser’s access plan before the day and the driver confirms the spot on arrival.
  • Day: the vehicle returns to base or waits, whichever the quote says. Say so at booking, because waiting is quoted differently from a return trip.
  • Evening: the team leader messages when the stand is packed down and the driver comes round. We agree the pick-up spot with you in advance, as described on our DWTC event transport page.

Getting from the airport to the hotel

Delegations often arrive on one flight or two. Our driver meets the group in the arrivals hall with a name board and tracks the flight. We do not provide immigration fast-track, which is a separate airport service. Dubai Airports lists a marhaba meet and greet service at Terminals 1 and 3 for that.

For a group of ten or more landing together, read the big group arrival at DXB guide, and the airport transfer page for the basics. Most visitors land at Dubai International Airport. Al Maktoum International Airport has limited commercial flights, so check your airline.

How a quote works

Send the dates, the group size, the pick-up addresses, the number of boxes and a mobile number through the booking page. We reply with a fixed written quote listing the vehicle, each day, the hours and any tolls. Nothing is charged until you accept it. See what a quote includes. If your people stay for weeks and not days, staff transport is a better fit than daily hire.

Frequently asked.

Quick answers for this trip.

Do you run the official GITEX shuttles?

No. The organiser runs its own shuttles, including direct DWTC to Dubai Exhibition Centre transfers and hotel and exhibitor shuttles. We are a private, pre-booked service and not the organiser’s transport provider.

Can you get us tickets, passes or exhibitor badges?

No. We do not sell tickets, passes, badges or exhibitor space. Register through the organiser’s own site, gitex.com.

When are the build-up and breakdown days?

We could not find them published. Check your exhibitor manual or ask your stand contractor, then send us the dates and we price each day on one quote.

How many people fit in one vehicle?

A Sprinter takes up to 16, a 30-seater mini coach 22 to 30 and a 50-seater coach up to 50. A 13-seater van suits a crew of up to 13. We leave a few seats spare for late arrivals.

Can the vehicle carry our stand materials?

Roll-ups, laptops and boxes of brochures or samples fit in a coach hold or the rear of a van. For pallets or heavy freight, use a logistics company and keep our vehicle for the team.

Where will the driver drop us?

At the drop-off the organiser allows for your vehicle type. We have not found a published rule for coaches or chauffeur cars, so we check the access plan before the day and the driver confirms the spot.

Can a buyer group have a car for each meeting?

Yes. We can time pick-ups to the meeting schedule the group is given. We do not arrange the meetings.

What does it cost?

Ask for a fixed written quote. We price per vehicle and per day, and the quote lists hours, route and extras before you accept.
