Booking basics
How do I book?
Use the booking page: three steps, about a minute. We email a fixed quote; reply to confirm and you are booked.
What does the quote include?
The vehicle, the chauffeur, fuel, road tolls (Salik in Dubai, Darb in Abu Dhabi), airport parking and the waiting time allowance shown on the quote. Extras such as additional hours are listed upfront at a fixed rate.
How far in advance should I book?
For cars and vans, 24 hours is usually enough; for coaches, weddings and large events, the earlier the better — ideally two weeks or more in peak season.
Do you track flights?
Yes, on every airport booking. Share your flight number and your chauffeur adjusts to early or late landings automatically.
Can I change or cancel a booking?
Changes are free up to 24 hours before pick-up. Cancellation terms are written on your quote before you confirm.
Are child seats available?
Yes, on request and free of charge in cars, SUVs and vans. Please mention the child’s age when booking.
How do I pay?
Payment details are sent with your confirmation. Corporate accounts can be invoiced monthly.
Do you drive outside Dubai?
Yes — daily to Abu Dhabi and Sharjah, and to every other Emirate on request.
Airports
Do you collect from private jet terminals?
Yes, on request. Tell us the operator, the terminal and the expected arrival time, and we will confirm in writing where the chauffeur can meet you. Access rules differ between private aviation terminals, so the earlier we know, the smoother the arrival.
Can you transfer me between DXB and Al Maktoum International (DWC)?
Yes. The two airports are around 60 km apart, and the drive usually takes 45 minutes to an hour, longer at peak times on Sheikh Zayed Road. Give us both flight numbers and we will plan the timing around the connection.
How far ahead should I book an airport pick-up?
For cars and vans, 24 hours’ notice is usually enough. For peak travel dates, large groups or a Rolls-Royce, book as early as you can, so the vehicle is confirmed in writing well before you fly and you can travel without loose ends.
Do you handle night arrivals?
Yes. Many long-haul flights land at DXB in the early hours, and night arrivals are handled exactly like daytime ones: flight tracked, name board in arrivals, car cooled and ready. There is no surge pricing for late nights or early mornings.
Can you drive me to the airport as well as collect me?
Yes. Departures are booked in the same way: tell us the flight and the pick-up address, and we propose a pick-up time that allows for traffic at that time of day and the check-in time your airline recommends.
What if my flight is diverted to another airport?
Tell us as soon as you know. If your flight lands at Sharjah, DWC or Abu Dhabi instead of DXB, we will redirect your chauffeur where possible and confirm any change to the quote in writing before you travel on.
Pricing & payment
Is VAT included in the price?
Our quotes are all-inclusive, so the total you confirm is the total you pay, with nothing added at the end of the journey. Where VAT applies, it is shown on your invoice, which is useful for companies reclaiming it.
Do prices go up at night, on holidays or in bad weather?
No. There is no surge pricing for late nights, public holidays or rain. Your quote is fixed when you confirm it, and it stays fixed unless you change the trip, for example by adding a stop or extra hours.
Are tips included in the quote?
No. Gratuities are never added to our quotes and are not expected. If you would like to thank your chauffeur for a particularly good day, that is entirely up to you, and it makes no difference to the service you receive.
Can I get one quote for several journeys?
Yes. Put every journey in one request, from an airport arrival to a day trip and a departure, and we will send a single written quote listing each leg, the vehicle and the time. You confirm everything in one reply.
Is waiting at a hotel pick-up charged?
Each quote includes a waiting allowance, written on it. If you need the chauffeur to wait longer, extra time is charged at the rate shown on the same quote, so you know the cost of running late before it happens.
Will the price change if my flight is late?
No. We track your flight, and delays caused by the airline do not count against your waiting allowance or change the price you agreed. The same applies if your flight lands early: the chauffeur is simply there sooner.
Chauffeurs
What languages do your chauffeurs speak?
All our chauffeurs speak English, and many speak other languages too. If you need a chauffeur who speaks a particular language, such as Arabic, mention it when booking and we will confirm in writing whether we can assign one for your trip.
How are chauffeurs prepared for each job?
Every chauffeur is vetted before joining and briefed before each job with the guest’s name, the addresses and entrances, the flight details and any preferences you have given us, so you never have to explain the plan twice.
What do your chauffeurs wear?
Our chauffeurs are uniformed, and those driving the Rolls-Royce wear formal uniform. If your event has a specific dress code, such as black tie, tell us when you book and we will brief the chauffeur accordingly.
Where does the chauffeur wait at a hotel?
At the entrance at the agreed time, then nearby in the hotel’s parking or a permitted waiting area if you are not ready yet. Hotels manage their driveways closely, so the chauffeur returns to the door as soon as you message.
Can I request the same chauffeur for future bookings?
Yes. Mention the chauffeur in your booking notes and we will assign them whenever they are available. Regular corporate travellers are matched with consistent chauffeurs wherever possible, so the routine becomes familiar. It is especially helpful for families and executives who visit Dubai often.
Do chauffeurs know the city well?
Yes. They drive Dubai’s roads every day and know the hotel entrances, venue gates and quickest routes at different times of day. Before each job they check the traffic on Sheikh Zayed Road and the Creek crossings and plan around it.
Vehicles & capacity
How do I choose the right vehicle size?
Start with guests and luggage. One to three people suit the executive sedan, four to six with bags the luxury SUV, and seven the Mercedes V-Class. From eight to sixteen, choose the HiAce or Sprinter; beyond that, the mini coach or coach. Our booking form greys out anything too small.
What counts as a medium suitcase?
Roughly a standard checked case, about 65 to 70 cm tall. Larger cases, golf bags, prams and boxes take more space, so list them in the notes when you book and we will size the vehicle accordingly, or add a second car for the bags.
How old are your vehicles?
Every vehicle is late-model, maintained to the manufacturer’s schedule and cleaned before every job. If you need a particular model year or specification for an occasion, ask when you book and we will confirm in writing what will arrive.
Can I request a particular colour of car?
Yes, tell us in the notes. Colour availability varies by vehicle and date; for weddings and special occasions we confirm the exact car and colour on your quote before you book, so the photographs look the way you imagined.
Do all vehicles have air-conditioning in the rear?
Every vehicle in the fleet is fully air-conditioned. The sedans, SUVs and V-Class have separate rear climate control, so passengers can set their own temperature, and the Sprinter has individual air vents at each seat.
Can I book several different vehicles at once?
Yes. A single booking can combine any mix of vehicles, for example a Rolls-Royce, two SUVs and a coach for one event, all on one quote and one timetable, coordinated by the same team from start to finish.
Weddings & events
Do you provide transport for multi-day weddings?
Yes. Many weddings in Dubai run over several days, with different venues and functions. We plan each day’s vehicles and timings on one quote, and try to keep the same chauffeurs throughout so they get to know the families and the venues.
Is there a coordinator on the day?
For larger weddings and events, a coordinator stays on the ground to manage the vehicles against the running order. For smaller events, your chauffeur and our team stay in touch with you or your planner throughout the day.
Can you collect wedding guests from the airport?
Yes. Send us the guest list with flight numbers, and we will plan the arrivals, assign vehicles by group size and take everyone to their hotel. Each guest or family is met in the arrivals hall with a name board.
Can you handle transport for a gala dinner or awards night?
Yes. We plan staggered arrivals at the venue, waiting areas for the vehicles during the event and departures at the end of the night, including late finishes. Principal guests can have dedicated cars that wait for them alone.
Can a car wait outside a restaurant during a celebration dinner?
Yes. Book by the hour and the chauffeur waits nearby, returning to the door when you message. It is a popular choice for birthdays, anniversaries and proposals, when nobody wants to end the evening queuing for a taxi.
Corporate accounts
Who can open a corporate account?
Any company that books regularly, from a small office with occasional visitors to a large firm with daily airport runs. Email bookings@ivorylane.ae with your company details and the people who will make bookings, and we will set it up.
Can invoices be split by cost centre?
Yes. Corporate clients receive one consolidated monthly invoice, which can be broken down by cost centre on request. Each journey still starts with a written quote, so every line on the invoice matches something already approved.
Can assistants book for executives?
Yes. Assistants and travel bookers can book for any traveller using the online form. The traveller’s name goes on the name board and in the chauffeur’s brief, and the confirmation goes to the person who made the booking.
Do you provide transport for conferences and offsites?
Yes, from cars for speakers to coaches for delegates. We plan pick-ups from several hotels, timed shuttles and departures, with one quote for the whole programme and a single point of contact on our side.
Is each journey itemised on the monthly invoice?
Yes. Each journey is listed with its date, route and vehicle, so finance teams can match it to the original quote and approval without chasing anyone for details. If you need a purchase order or project reference shown against a journey, add it to the booking notes.
Intercity & day trips
Can we stop on the way during an intercity transfer?
Yes. Tell us when you book, whether for coffee, photographs or a quick visit, and the stop is built into the timing and the quote. On long drives you can also ask the chauffeur for a short comfort break on the day.
Do you drive into Oman?
Our transfers cover the seven Emirates. Journeys that cross into Oman, including Musandam, involve border formalities and separate insurance; ask before you book and we will tell you in writing whether we can help with your particular trip.
Can you take us to a desert camp?
Yes, to camps and venues reached by paved road, such as those along the Al Qudra road. Dune driving is done by the camp or safari operator’s own 4x4s; our chauffeur waits at the camp entrance, or returns at an agreed time, for the drive back.
Should I book a return or two one-way transfers?
If you will be away for a few hours, a return with waiting is usually simplest, because the chauffeur stays with you. If you are staying overnight or longer, book two one-way transfers on the same quote, each with its own date and time.
What is the best time of year for day trips from Dubai?
October to April, when temperatures suit walking and sightseeing. In summer, day trips still work well with an early start, indoor stops in the middle of the day and an evening return, and the car is always cool between stops.
How far can a day trip from Dubai go?
Most of the UAE is within two to two and a half hours of Dubai, so Abu Dhabi, Al Ain, Hatta, Ras Al Khaimah and the east coast all work as day trips. Further destinations, such as the Al Dhafra region, are better as overnight trips.
Safety & accessibility
Do all passengers need to wear seat belts?
Yes. UAE law requires every passenger to wear a seat belt, in the front and the rear, and every seat in our vehicles has one. Your chauffeur will ask everyone to buckle up before setting off, including on short city journeys.
What are the child seat rules in the UAE?
UAE law requires young children to travel in a suitable child safety seat, and children under ten, or shorter than 145 cm, may not sit in the front. Child seats are free on request in our cars, SUVs and vans; tell us each child’s age when you book.
Can you help passengers with limited mobility?
Yes. Tell us about any mobility needs when you book. Chauffeurs help with doors, steps and luggage, and the V-Class, with its sliding doors, is often the easiest to board. Folding wheelchairs travel in the luggage space; we confirm in writing what we can arrange.
How will I recognise my chauffeur?
At airports, your chauffeur holds a name board in the arrivals hall. At hotels and homes, they arrive at the entrance at the agreed time and ask for you by name. Every booking has a reference starting with IL, which the chauffeur can quote.
Can elderly guests travel comfortably on long journeys?
Yes. Choose a vehicle with easy access, such as the V-Class or the SUV, and let us know if regular stops are needed. Chauffeurs drive smoothly, keep the cabin at a comfortable temperature and help at every stop.
Changes & cancellations
What if I need to change my booking within 24 hours of pick-up?
Tell us as soon as you can. Changes are free up to 24 hours before pick-up; after that, we still do our best to accommodate them, and any charge follows the terms written on your quote, so there are no surprises.
Can I change the vehicle after confirming?
Yes, subject to availability. If you need a larger or smaller vehicle, email us and we will send an updated quote for you to confirm. Changes made more than 24 hours before pick-up are free of charge.
What happens if my flight is cancelled?
Send us the new flight details as soon as you have them and we will move your pick-up. Because we track flights, we often see the change at the same time you do, and we will confirm the new arrangement in writing.
How do I cancel a booking?
Reply to your confirmation email, or write to bookings@ivorylane.ae with your booking reference. The cancellation terms are written on your quote before you confirm, so you know exactly where you stand before you book.
Can I add a stop after confirming?
Yes. Email us with the extra stop and we will confirm any change to the quote in writing. On hourly and full-day bookings, you can simply tell the chauffeur on the day, as the order of stops within the booked hours is yours.
