The 3 am flight, planned backwards.
Night departures are normal in Dubai, and a group makes them harder. Forty people have to be down, counted, loaded and at the right terminal while the city is asleep. This page works back from the flight to the hotel pick-up.

Work back from the flight, not from the hotel
Most airlines ask passengers to be at the airport around three hours before an international flight. A group takes longer than that rule suggests, because forty people checking in together queue at the same desks and a couple does not. Start with that three hours and add the group on top.
Then add the drive. Our route pages give a pick-up around three and a half to four hours before departure as a sensible starting point for a Downtown hotel, and around four hours for the Palm. After 10 pm the Downtown run is around 15 to 20 minutes, according to our DXB to Downtown Dubai page. The Marina, JBR and the Palm are around 35 to 45 minutes outside the rush hours, as on our DXB to Palm Jumeirah page.
Example, not a quote: a group of 28 leaves from a Marina hotel on a 03:20 flight. Three hours before is 00:20 at the airport. The drive is 35 to 45 minutes, so the vehicle must leave by about 23:35 at the latest. Add loading time for 28 people’s bags and a margin for the unexpected, and the driver is at the hotel ten minutes early for a pick-up around 23:00. The airline’s own advice always comes first. If it asks for more than three hours, move the whole chain earlier.

Get a quoteCheck-out when the flight is in the small hours
A flight at 2 am means the group is checking out before midnight, or earlier. A flight at 6 am means checking out around 2 am. Ask the hotel what it does for guests who leave at that hour, and get the answer in writing before you fly.
Three things make the lobby calmer.
- Settle the bills the day before, so check-out is a key drop and not a queue at the desk.
- Ask the hotel to bring the bags down before the group gathers. Loading then happens while people finish checking out.
- Name a group leader with a phone that works in the UAE. The leader counts heads, calls anyone missing from the lobby and tells the driver when everyone is on board.
If your flight is late at night and the rooms would sit empty, you can avoid paying for a late check-out by booking the vehicle for the day instead. The luggage stays on board while the group spends a last afternoon in the city, then you go straight to the airport. Our Dubai airport transfer page explains how a day booking and a transfer differ.
Which terminal, and why it matters at 3 am
DXB has three passenger terminals. Terminal 3 is the home of Emirates. Terminal 1 handles most other international airlines. Terminal 2 is used mainly by flydubai and a number of regional carriers, and it sits across the airfield, around 15 to 20 minutes by road from Terminals 1 and 3. Some flydubai flights also leave from Terminal 3, so read the terminal on the ticket instead of guessing from the airline.
A group split across two airlines can need two drop-off points on the same night. Send every flight number and we confirm the terminals before the drivers set off. Emirates passengers in First or Business at Terminal 3 have their own check-in area, so tell the driver who sits where. The DXB terminal guide covers the arrivals side of the same buildings.
What runs at night, and what does not
The Red Line of the Dubai Metro starts early in the morning and finishes around midnight on most days, with different hours on some days of the week. A 2 am departure does not fit it. The airport taxi rank works all night, but queues build when several wide-bodied aircraft leave together, and a standard taxi takes up to four passengers. A group of ten needs three cars.
One pre-booked vehicle avoids that. Salik tolls are lower or free in the early hours, between about 1 am and 6 am, with different timings on Sundays and during Ramadan, as the Salik guide explains. Whatever applies on your night is listed on the written quote, and we do not guess it here.
Several hotels, one flight
Groups sleeping in more than one hotel need an order of stops. The first hotel should not sit on board for an hour while the vehicle loops the city. Sometimes two smaller vehicles beat one long loop, and we say so on the quote. Tell us who sleeps where and we plan the loop or split the group.
Our hotel group transfers guide shows how tour operators write that up.
Count the bags before you pick the vehicle
At night, nobody wants a second vehicle chasing the first. Count the bags before you count the seats. The 30-seater mini coach carries around 20 medium suitcases. The 50-seater coach carries around 50, with under-floor holds. The Mercedes Sprinter seats 16 and carries around 12.
Example: a choir of 34 with 40 checked bags and two cello cases. A mini coach is out on seats and bags. The 50-seater takes everyone and the instruments in the holds. Mention anything oversized when you book. Golf bags, instruments and boxes take the space of several suitcases.
What to send us
- The departure flights, with terminals and times.
- The hotel names and who is staying in each.
- The number of people and a count of checked bags, with anything oversized.
- The group leader’s name and mobile number.
Send them through the booking page. Ask for a fixed written quote. It lists the pick-up time, the vehicle, the stops and the waiting allowance, and nothing is charged until you accept.

Frequently asked.
Quick answers for this trip.
How early should a group leave the hotel for a 3 am flight?
Start with the airline’s advice, which is often around three hours before an international flight, then add the drive and loading time. For a Marina hotel the drive is around 35 to 45 minutes outside the rush hours. We work the exact time out with you and put it on the quote.
Can the group keep the rooms until the flight?
Ask the hotel, and get the answer in writing. If a late check-out is not possible, you can book the vehicle for the day so the bags stay on board and the group goes straight to the airport.
Does the driver wait if someone is late down?
The driver is at the hotel ten minutes early and the quote carries a waiting allowance. The group leader tells the driver when everyone is on board. Longer waits are shown at the rate on the quote.
Can the Metro take us at 2 am?
No. The Metro finishes around midnight on most days. At night the options are the taxi rank, an app ride or a pre-booked vehicle. See how to get from Dubai Airport to your hotel for the full list.
What if half the group flies from Terminal 2?
Send us the flight numbers. Terminal 2 is 15 to 20 minutes by road from Terminals 1 and 3, so we may suggest two vehicles. The quote shows both.
Do you know when the airline opens check-in?
Tell us the airline and the flight and we confirm what we can in your written quote. Check the airline’s own notice for the desk opening time.
Can one vehicle collect from two hotels?
Yes. Each extra hotel adds a stop and time. If the hotels are in different areas, two vehicles are often faster and your quote says which we suggest.
How far ahead should I book a night departure?
For vans and cars, 24 hours is usually enough. For coaches, or anything between October and April, book two weeks or more ahead. Ask for a fixed written quote.
