A UAE trade mission, planned by the day.
A mission is not one venue and not one hotel run. It is a group moving between company visits, often in two emirates, on a programme the organiser has to keep to the minute. Here is the shape of a four-day mission, one visit day on a clock, and the questions to ask each host.

What a mission asks of ground transport
A chamber of commerce or an export agency usually brings 15 to 40 members, each there to meet specific companies. The programme is a string of visits, a hosted lunch or two, a reception, and one day in another emirate. Between those fixed points sit short, awkward legs, and the group has to arrive together, because the host is waiting.
We provide the coach and driver. The company visits, the speakers, the interpreters and the meeting schedule belong to your organisation and your hosts. This page covers transport only. If your event is one venue with several hotels, our event transport page is the better fit, and for a trade fair see the Gulfood buyer delegation plan.

Get a quoteThe shape of a four-day mission
The example mission has 30 members and 2 organisers, so 32 people need a seat. Four days, two cities, hosts every day.
| Day | Programme | Transport |
|---|---|---|
| 1 | Arrivals from several flights, evening welcome briefing | Airport name-board meet, coach to the hotel |
| 2 | Three company visits in Dubai, hosted lunch, evening reception | Day coach, then a separate evening transfer |
| 3 | Two visits and lunch in Abu Dhabi | Intercity day, same coach |
| 4 | Morning visit, closing session, departures | Half-day coach, then airport runs by flight |
Day 1 is a big group arrival, and the guide to landing 30 or more people at DXB explains the stream of passengers, the name board and the 60 to 90 minutes from landing to kerb. For a very long arrival day, the conference airport shuttle plan shows how to cut a flight list into waves.
Choose the vehicle for 32 people
A 30-seater mini coach has 22 to 30 seats, so it is out for 32. The 50-seater coach has 50 seats, a PA system for the organiser and under-floor holds for sample cases, banners and gifts. The 18 spare seats take late additions, a host who joins for lunch, or a speaker for the day.
If your mission is 18 people, a mini coach is plausible. At 45 or more, you need a second vehicle or a different size, and the page on transport for 31 to 50 people sets that out. The mission leader and any senior guest often travel in a separate car, such as a Mercedes V-Class, booked as a corporate chauffeur day on the same quote.
A Dubai visit day on the clock
The day-two plan below uses assumed leg and visit times. Replace each with the figure from your own hosts, checked at the hour you will travel. Allow extra on the first run of the day, when nobody has driven the route.
| Time | What happens | Assumption |
|---|---|---|
| 08:20 | Driver at the hotel, ten minutes early | Standard |
| 08:40 | Coach leaves | 10 minutes to count heads |
| 09:05 | Arrive at host 1 | 25 minute leg |
| 09:15 to 10:45 | Visit 1, coach waits | 90 minute visit |
| 11:15 | Arrive at host 2 | 30 minute leg |
| 11:30 to 13:30 | Visit 2 and hosted lunch | 120 minutes |
| 14:00 | Arrive at host 3 | 30 minute leg |
| 14:00 to 15:30 | Visit 3 | 90 minute visit |
| 16:00 | Back at the hotel | 30 minute leg |
The coach works from 08:20 to 16:00, which is 7 hours 40 minutes. That is inside the ten hours covered by our day rate, and the quote says when the clock starts. If the same coach also ran the 18:30 reception and the 22:00 return, the day would reach 13 hours 40. So release the coach at 16:00 and book the evening as a separate transfer. Short jobs, such as a single evening transfer, can be booked by the hour from four hours. Our guide to what is in a bus rental quote explains how to read the hours.
The Abu Dhabi day
Dubai to Abu Dhabi city takes about 1 hour 30 minutes outside the rush hours, each way. That is three hours of the day on the road before any local leg, so two visits and a lunch is a full programme. A day that leaves Dubai is quoted as an intercity day, with the longer distance and the longer driver’s day built in. Ask for the hours to be stated on the quote.
If the group changes hotel between the two cities, treat the move as its own line with bags counted. We do not book hotels, so tell us the hotel names once you have them. The page on a same-day business trip to Abu Dhabi sets out why to leave Abu Dhabi before the evening exodus, and the Abu Dhabi transfers service covers one-way legs.
Questions for each host
- Where can a coach stop, and where can it wait? Some venues set their own coach rules, and we check the drop-off and waiting area before the day.
- Which door do guests use, and who meets them there?
- Does the host need the number of guests, the names or the vehicle details beforehand? Ask, and send what they ask for.
- Is there a hosted lunch that runs long, and where does the coach go during it?
- Who is the host contact on the day, and what is their mobile?
Put the answers into a one-page host list: company, address, contact, arrival time, drop-off point and waiting spot. We use it as the driver’s sheet. For larger missions a coordinator stays on the ground to call each stop.
What to send for a quote
Send the dates, the group size, the hotels in each city, the arrival and departure flights, and the programme with times. Add the host list when you have it, and tell us which days run past ten hours. We reply with a fixed written quote listing each day, each vehicle and the hours. If you work through a tour operator or destination management company, the guide for tour operators shows what they usually send us.

Frequently asked.
Quick answers for this trip.
Which vehicle suits a trade mission of 30 members?
A 50-seater coach. A 30-seater mini coach has 22 to 30 seats, so 30 members plus organisers will not fit. The coach also has luggage holds for samples and gifts.
Can one coach cover Dubai and Abu Dhabi?
Yes. A day that leaves Dubai is quoted as an intercity day. Dubai to Abu Dhabi city takes about 1 hour 30 minutes outside the rush hours, each way.
Does the coach wait during company visits?
Yes. The waiting is on the quote as hours and a waiting allowance. Ask each host where the coach may stand.
What if the day runs past ten hours?
Time beyond the booked hours is charged at the hourly rate written on your quote. Tell us in advance if a day will run long, so the hours are right from the start.
Do you organise the company visits?
No. We provide the coach, the driver and a plan for the stops. The visits and the hosts are yours.
Can the mission leader have a separate car?
Yes. A V-Class or an executive car can travel with the coach, on the same quote.
Do you need a guest list for each host?
Some hosts ask for numbers or names beforehand. Ask each one, and we put what they need on the driver’s sheet.
