Your reference
Event transport in Dubai is rarely one vehicle. A two-day conference might need a keynote speaker collected from DXB, three hotels linked to the venue every morning, a Sprinter on standby for the sponsors and a coach to take everyone to dinner in the desert on the second night. We plan all of it from your run sheet and put it on one written quote, with each vehicle, each day and each hour listed.
Our vehicles run from the executive sedan to the 50-seater coach. So the speaker’s car, the VIP van and the delegate buses come from one team, on one timetable. Drivers are briefed before every job with the pick-up points, the timings and the name of your contact on the day. For larger events a coordinator stays on the ground.
Prices depend on the date and group size. Get yours in a minute.

Dubai World Trade Centre is on Sheikh Zayed Road, a short drive from DIFC, Downtown and the older districts of Bur Dubai and Karama. Plenty of hotels are close. That closeness fools people on show days. The approach roads fill quickly in the morning peak, the organiser decides where coaches may drop off, and when a big session ends thousands of people head for the taxi ranks at the same moment.
Typical drive times outside the peaks are around 10 to 15 minutes from Downtown and DIFC, 15 to 25 minutes from Deira and Al Garhoud, and 25 to 35 minutes from Dubai Marina and JBR. Add a margin on show mornings.
We start from the opening session. When do the doors open, how long is the walk from the coach drop-off to the hall, and how long does each hotel run take at that hour of the morning? Those three answers give the departure time for every hotel. Then we add a later run for the people who miss the first one, because there are always some. Send us the organiser’s traffic plan, or the drop-off point allocated to your group, and the drivers work to it.
Expo City Dubai is a different job. It sits in Dubai South near Al Maktoum International (DWC), around 25 to 35 minutes from Dubai Marina and 35 to 50 minutes from Downtown outside the peaks, and most delegates stay a long way from it. Direct shuttles from the main hotel districts matter far more here than at a city-centre venue, and a taxi queue at the end of the day can be a long one.
Day one is the hardest to time. Everyone is new to the route, including half the city’s other drivers, so we build extra margin into the first morning and tighten the schedule once we know the real journey times. For exhibitors, speakers and VIP guests who need a car rather than a seat on a shuttle, our Expo City Dubai chauffeur page covers daily runs and drop-off points.
Most events in Dubai happen in a handful of places: hotel ballrooms and conference centres in Downtown, Business Bay, Dubai Marina and Palm Jumeirah, Madinat Jumeirah, Dubai Festival City, Coca-Cola Arena at City Walk, Dubai Opera, Meydan and the tennis stadium in Al Garhoud. Gala dinners also go out to desert camps off the Al Qudra and Al Ain roads. Every one of them has its own rules for where a coach may stop and wait, and some change them event by event. We check before the day rather than finding out at the gate.
Events that span two cities are common too. Dubai to Abu Dhabi city takes around 1 hour 30 minutes outside the rush hours, and we quote those legs as intercity transfers on the same document.
The busiest moment decides the fleet, not the total headcount. A 300-person conference where everyone arrives in the same 45 minutes needs more buses than a 500-person exhibition where visitors drift in all day. Work it out in three steps.
Then size each vehicle to its pick-up point, with a few seats to spare. Forty guests at one hotel suit a 50-seater coach. Twenty-two suit a mini coach. Twelve fit a 13-seater van or a Sprinter. The spare seats absorb late registrations and stop the last three people at a hotel being left on the kerb.
Then do the same for the return, which is harder. Arrivals spread out; departures don’t, because everyone wants to leave when the last session ends. Agree a fixed departure time for each vehicle, or plan a second wave for the people who stay on to network.
Example: 180 delegates in four hotels, with the first session at 9am at Dubai World Trade Centre. Hotel A has 70 guests, hotel B 50, hotel C 40 and hotel D 20. Hotel A gets two 50-seater coaches, hotels B and C one each, and hotel D a 30-seater mini coach. At our starting prices that is four coaches from AED 1,450 each per day and a mini coach from AED 1,100, so from AED 6,900 a day for the whole operation, with tolls and parking listed on the quote. If hotel A is close enough for one coach to run twice before 8.45am, it drops by a coach. We would check that on the first morning, not assume it.
A lot of events build in a day off the programme. Partners and spouses want a city tour, an incentive group has a free afternoon, or the organiser adds a trip to Abu Dhabi after the closing session. For these you can rent a tour bus with driver for a half or full day, and the coach that ran the conference shuttle simply switches to sightseeing. Coaches have a PA system for your guide and luggage holds for the shopping.
A full day in Dubai with the driver waiting at each stop might be Al Fahidi and the souks in the morning, Downtown and the Dubai Mall in the afternoon and the Marina at sunset. Further out, the Sheikh Zayed Grand Mosque, Hatta and Al Ain all work as day trips. If you want commentary on board or inside the sites, bring a licensed guide. The driver handles the route, the timing and the parking, and we plan the day around the guide’s schedule.
Tour bus rental in Dubai is priced like any other day. The 50-seater coach starts from AED 1,450 per day and the 30-seater mini coach from AED 1,100 per day, for up to 10 hours within Dubai with driver and fuel. A day that goes to another emirate is quoted as an intercity day.
Every event has people who shouldn’t ride the shuttle: the keynote speaker, a government delegation, the sponsors, a chief executive with a flight at six. For them we usually suggest an executive sedan or the Rolls-Royce for the main guest, a luxury SUV for a small delegation, and a Mercedes V-Class or Sprinter parked near the venue on standby. Because they sit on the same quote as the coaches, one confirmation covers the lot.
Speakers and VIPs flying in are met in the arrivals hall at DXB or DWC with a name board, and we track each flight. From there they go to the hotel or straight to the venue, depending on how close they are cutting it. Our airport chauffeur page explains how the meet works.
Evenings have a different shape. Guests arrive over half an hour, but they leave in one of two ways: all at once when the last award is handed out, or in a long trickle over two hours if there is an after-party. Tell us which kind of night it is. For a single exit, we line the vehicles up as close to the door as the venue allows, in the order they will leave. For a long tail, we keep a smaller vehicle on later for the last guests instead of holding a full coach and its driver until 2am.
Desert dinners and beach venues need more thought. Access can be a sand track or a narrow service lane, and some camps move guests from a meeting point in their own 4x4s. Check the access with us before you book coaches for a venue you haven’t used before.
We price event transport per vehicle, not per person. The starting point is each vehicle’s day rate for up to 10 hours within Dubai, with driver and fuel. Short jobs, such as a single evening transfer, can be booked by the hour from four hours.

Quick answers for this trip.
Work from the busiest moment, not the total. How many people must arrive in the same window, at how many pick-up points, and can a vehicle make two runs in that time? Send us the hotels and the numbers and we will propose the vehicles, each one listed on the quote.
Yes. A 50-seater coach starts from AED 1,450 per day and a 30-seater mini coach from AED 1,100 per day, for up to 10 hours within Dubai with driver and fuel. The driver waits at each stop. A trip to another emirate is quoted as an intercity day.

The vehicles wait. Time beyond the booked hours is charged at the hourly rate written on your quote, with no surcharge for evenings or public holidays. If a late finish is likely, say so when you book so the drivers are free to stay on.

For larger events, yes: a coordinator stays on the ground to manage the vehicles and timings. On smaller jobs each driver has your contact’s name and number, and your contact gets the drivers’ details before the day.
