Two bus quotes for the same day can differ by a few hundred dirhams and still be the same price. Here is what a proper written quote should list, line by line, and how to compare two without being caught out.

A bus rental quote that fits in one line is usually missing something. “Coach, 50 seats, AED 1,400” tells you the size of the vehicle and a number. It does not tell you how many hours the number buys, who pays for the fuel, what happens at a Salik gate or where the bus waits while your group is at dinner. Those gaps are where a quote becomes a different price on the day.
A good written quote answers eight things before you reply to it:
The sections below take them in turn. If you are still choosing who to ask, our guide to choosing a bus rental company covers permits, insurance and drivers. This page is only about the quote itself.

Get a quoteMost day rates in Dubai are built on a block of hours. Ours is up to 10 hours within Dubai, and the market uses the same idea. The number matters less than the definition. Ask when the clock starts: at the driver’s first pick-up, or when the bus leaves the yard? And when it stops: at your last drop-off, or when the bus is back where it started? A bus that starts its clock the moment it leaves a yard in Sharjah has used up part of your ten hours before it reaches your hotel.
Check the finishing time against your plan too. A wedding shuttle that runs from four in the afternoon to one in the morning is nine hours. A conference day with a 7am hotel run and a late dinner is easily twelve. Put your real start and finish on the request, so the quote is built on the hours you will use.
Then ask for the overtime rate in writing. “Extra hours at the hourly rate” is not an answer if the rate isn’t on the page. On ours, the rate is printed on the quote, so you can work out what a late finish costs before it happens.
Fuel should be in the price for a hire with a driver, and the quote should say so in plain words. If it doesn’t mention fuel, ask. A day rate that leaves fuel out looks lower until the bus has done a Dubai to Abu Dhabi round trip, which is around 300 km before any detours.
Our day rate includes fuel for the hours and area on the quote. A day that leaves Dubai, for example to Abu Dhabi, Al Ain or Hatta, is quoted as an intercity day, with the longer distance and the longer driver’s day built in.
Salik is Dubai’s toll system, and Darb is Abu Dhabi’s. The gates read a tag as the bus passes, so nobody stops, but every crossing is charged to the vehicle, and with a chauffeured hire it ends up on someone’s invoice. Salik has used variable pricing since early 2025, so the same gate costs more at the morning peak than at two in the afternoon. Our Salik and Darb guide has the gate list and the pattern.
For a quote, three questions matter. Are tolls included in the total? Are they estimated, or actually listed for your route? And are they charged afterwards at cost plus an admin fee? The cleanest answer is a quote that lists the tolls for your route and time, with the figure inside the total. The version to be wary of is “tolls extra, as per actual”, with no estimate. That is an open cheque, and you find out the amount a week later.
On ours, Salik and Darb for the route are listed on the written quote before you confirm.
Parking is the smallest line and the one people forget. Airports charge by the hour for the pick-up area, and malls and venues sometimes charge a coach to wait. If a bus waits for four hours while your group is at a gala dinner, someone has to find it a legal place to stand.
Ask whether parking is included, and which parking. At airports, our quotes list the airport parking when the driver meets your group inside the terminal. Never accept “parking as required”. Ask for the word “included”, or a number.
Waiting is where groups run late and quotes get argued over. A quote should show two things: how much waiting is allowed for free, and what each extra block costs. Without both you cannot tell what a delayed group does to the price.
Airport pick-ups are the common trap. A bus booked for a flight that lands two hours late should not be billed for the delay, and ours isn’t, because we track the flight and the allowance starts from the landing. Ask every operator the same question: if the airline is late, who pays?
For a venue run, the honest approach is to plan the waiting. If your group is in a three-hour gala, say so. The quote can then either build the wait into the hours or show the bus returning at a set time.
VAT in the UAE is 5 per cent, and a quote should say whether the figure shown includes it. Some operators publish day rates before VAT, and the difference between two quotes can be only that. Companies that reclaim VAT want it shown as its own line on the invoice. Where it applies, ours is shown on the invoice.
The comparison rule is simple: put every quote on the same basis. Total with VAT against total with VAT, or both before. Do not set one operator’s “from” figure against another’s all-in total.
Here is a made-up pair, to show how the gaps work. Both are for the same job: a 50-seater coach on a Saturday for a company outing, 9am to 5pm in Dubai.
| Line | Quote A | Quote B |
|---|---|---|
| Headline price (example) | AED 1,400 | AED 1,510 |
| Hours included | Not stated | Up to 10, from first pick-up |
| Fuel | Not stated | Included |
| Salik | Extra, at cost | Listed and included |
| Parking | As required | Included |
| Waiting | Not stated | Allowance and hourly rate shown |
| VAT | Not stated | Shown, total given |
Quote A looks AED 110 cheaper. But it could be before VAT, it may use up its hours on the way to you, and its tolls and parking arrive later. By the end of the day it can easily cost more than Quote B. The figures are examples, not our prices. The point is that only Quote B can be compared with anything.
When a quote is thin, send it back with a short list of questions. A good operator answers in one message. One that can’t, or won’t, has told you something too.
Every written quote from us names the vehicle and the driver, with fuel, the Salik and Darb crossings for your route, airport parking where it applies, and the waiting allowance. The hourly rate for extra time is printed on the same page. VAT is shown on the invoice where it applies. Nothing is charged until you reply to confirm, and changes and cancellations follow the terms written on the quote before you accept.
Starting prices for each size of bus are on our bus rental price guide, with what each price includes. If you are still choosing a size, read HiAce, Sprinter, Coaster or 50-seater first, because the right vehicle changes the quote more than any line above.
Send it through the booking page, on WhatsApp to +971 54 126 1681 or by email to info@dubaibusservices.com. A written quote usually comes back within the hour. For group transport by size, see minibus rental and coach rental, and for events or staff transport contracts ask for each run to be priced separately so you can see where the money goes.
Every size is quoted the same way: vehicle, hours, road costs, waiting and VAT on one page.

Practical, air-conditioned and right-sized for group transfers.

Executive minibus for up to sixteen, or a VIP lounge for fewer.

The right size for weddings, outings and mid-size groups.

Fifty guests, one timetable, zero stragglers.
Quick answers for this trip.
The vehicle and seat count, the date and every stop, the hours included, fuel, Salik and Darb tolls, parking, a waiting allowance with the rate after it, and VAT with a final total. If any of those is missing, ask for it in writing before you confirm.
For a hire with a driver it normally should be. Our day rates include fuel for the hours and area on the quote. If an operator’s quote says nothing about fuel, ask directly, because an intercity day can use a lot of it.
It depends on the operator. Some include them, some add them afterwards at cost with an admin fee. We list the Salik and Darb crossings for your route on the written quote before you confirm.
There is no single market figure, because it depends on the vehicle and the driver’s day. Ask for the hourly rate to be printed on the quote. On ours it is written on the same page as the day rate, so you know the cost of a late finish in advance.
Often because it leaves something out: fuel, tolls, parking, VAT or part of the hours. Put both quotes on the same basis before comparing. A low figure with several “as required” lines is rarely the lowest total.
VAT is 5 per cent. Some operators publish rates before VAT and some after, so check which one you are looking at. Where it applies, ours is shown on the invoice, which helps companies that reclaim it.
Not for the same plan. If you change the hours, add a stop, leave Dubai or add a vehicle, the quote is updated and you confirm the new figure. Changes and cancellations follow the terms on your written quote.
Practice varies between operators, so ask what is due and when. With us nothing is charged until you reply to confirm, and payment details arrive with your confirmation. Corporate accounts can be invoiced monthly.
