Staff transport in Dubai for every kind of workplace

Staff transport in Dubai is one of those quiet decisions that shapes the whole working day. A hotel’s breakfast shift starts at six. A clinic opens at eight. A warehouse in Jebel Ali never closes. How people get to work decides whether any of that starts on time.

We provide employee transportation with a professional driver for companies of all sizes, from a 13-seat van for a small late-shift team to mini coaches and 50-seat coaches for a large workforce. Every vehicle is air-conditioned and every seat has a belt. You tell us where your people live or are housed, where they work and when their shifts start and finish. We come back with the vehicles, a timetable and a written price for each route. The same team handles the one-off jobs as well, like an airport arrival for a batch of new hires or a coach for the annual team day.

Prices depend on the date and group size. Get yours in a minute.

Who uses staff transport

Most of the requests we see come from a handful of workplaces, and each has its own pattern.

  • Hotels and restaurants, with early breakfast shifts, late closing and split duties, often from staff accommodation some way from the property
  • Hospitals and clinics, where nursing and support teams work long day and night rotations with changeovers in the small hours
  • Offices in DIFC, Business Bay or Dubai Media City whose teams live across the city or in the neighbouring emirates
  • Shops and malls, where staff finish after closing time and public transport has thinned out
  • Warehouses and operations teams in Jebel Ali Free Zone, Dubai Investments Park, Dubai South and Al Quoz
  • Construction and facilities crews going between accommodation and site, sometimes to more than one site a day
  • Build crews, hosts and temporary staff for a show season at Expo City Dubai or the Dubai World Trade Centre

Allowance, taxis or a staff bus?

Companies get people to work in three main ways, and plenty use more than one.

OptionWorks well whenWatch out for
Transport allowanceStaff live nearby or drive, and work ordinary office hoursLate arrivals on bad-traffic days, and early or late shifts with few public transport options
Taxis or ride-hailingA handful of irregular trips, such as an occasional late finishCosts that are hard to predict, and claims to process every month
Company staff transportSeveral people share a shift, a direction of travel and a workplaceIt needs a planned route and a headcount kept up to date

A staff bus doesn’t have to replace everything. Some companies run a route only for the early and late shifts, when public transport is thin and taxis are hard to justify, and keep the daytime office team on an allowance. Price that mix before you put everyone on a bus.

How a staff route is planned

  1. You send the facts: home areas or accommodation addresses, the workplace and the gate staff use, shift start and finish times, working days, and the headcount on each shift.
  2. We group the pick-ups. Rather than calling at every door, the route uses a few meeting points along one direction of travel, so nobody walks far and the first person on isn’t on board for an hour.
  3. We size the vehicles. The busiest run sets the size. If one run is far busier than the rest, a big vehicle for that run and a smaller one for the others usually works better than one size all day.
  4. We time it from the traffic. A 7am start in Business Bay needs a very different departure from the same trip at 10am. We set times for the hour you travel, not from a distance on a map.
  5. You get a written price per route. It names the vehicles, the timetable, the working days and what is included, so it can go straight to your finance team.

Once the route is running, check the actual arrival times against your shift start for the first couple of weeks. Small fixes make a real difference: a meeting point moved across the road, a departure five minutes earlier. They’re much easier to make in week one than after a month of late starts.

Early, late, split and night shifts

Hotel, hospital, retail and logistics teams rarely work nine to five. Shifts change what a route has to do.

Early starts are the easy part on the road. A 6am changeover means a pick-up well before dawn, when the roads are quiet, but punctuality matters more because there is no later bus to catch. Late finishes are harder. Staff leaving after a mall closes or a late service ends need a vehicle at the staff exit, so tell us the latest realistic finish, not the official one.

Split shifts are common in hotels and restaurants, with a long break in the afternoon. A route can include a mid-afternoon run back to accommodation and a second departure later. For a handful of night-shift staff, we’d usually suggest a van that drops people closer to home rather than a large vehicle running mostly empty.

When a morning drop-off and an evening collection are hours apart, ask whether the same vehicle and driver can do a second job in between: another team, another shift, another site. We’ll show you the options when we price the route. There’s no surge pricing for late nights or public holidays.

Summer hours, Ramadan and public holidays

Dubai’s working year isn’t one timetable. From mid-June to mid-September the midday break stops outdoor work in the early afternoon, so site crews often finish early or work in two parts. During Ramadan most private-sector employees work shorter hours, which moves both ends of the day. Public holidays such as Eid may close your workplace for several days. Or not at all.

Send us the revised timetable as soon as your company sets it. We re-plan the route for the period it covers and confirm the changes in writing, so finance can see exactly what moves. If your workplace closes on a day the route normally runs, tell us in advance. If it stays open over a holiday, tell us that too.

Labour transport for sites and crews

Labour transport in Dubai means moving crews between accommodation and site, usually early in the morning and back in the late afternoon. We run it with the same vehicles as everything else: air-conditioned vans, mini coaches and 50-seat coaches, one passenger per belted seat. Our biggest vehicle is the 50-seat coach. Very large crews therefore travel in several vehicles, not in one high-capacity bus.

Two details make site runs work. The first is the drop-off. Tell us which gate the crew uses, where vehicles may wait and whether the site has its own access rules. The second is the supervisors. Engineers and foremen who move between sites during the day often need a smaller vehicle of their own, and it can sit on the same quote as the crew bus.

Our vehicles carry people and their personal bags. Tools, materials and equipment should go with your own site logistics, for safety and because the crew needs the luggage space.

Choosing vehicle sizes for staff routes

Size each route by its busiest run, then leave room. Headcounts move as projects start and finish, and a vehicle that is full on day one has no seat for the next new joiner.

  • Up to 13 on the busiest run: the 13-seater van, from AED 900 per day as a one-off day hire
  • 14 to 16: the Mercedes Sprinter, often chosen for office and management teams
  • 17 to 30: the 30-seater mini coach, which still fits most staff entrances and accommodation streets
  • 31 to 50: the 50-seater coach, with under-floor space for bags
  • Over 50: a mix, such as a coach for the main pick-up area and a van for a second, smaller one

Journey length matters as much as numbers. Forty minutes in a reclining coach seat is fine. Forty minutes in the back row of a full van after a twelve-hour shift is not, and on long routes we may suggest a bigger vehicle than the headcount alone would need.

Three example routes

These show how different workplaces come together. They are illustrations, not quotes. Your route depends on your own addresses and shifts.

Example: a beach hotel, 34 staff on two shifts. Housekeeping and kitchen teams live in two accommodation buildings about 25 minutes from the hotel. The early shift of 28 travels in a 30-seater mini coach, in at 06:30 and home at 15:00. The late shift of six goes in a 13-seater van, in at 14:30 and home after midnight. Two vehicles, one quote.

Example: an office in Business Bay, 15 staff. The team lives in International City and Dubai Silicon Oasis. One Mercedes Sprinter collects from two meeting points at 07:45 for a 9am start and leaves the office at 18:15. We’d review the timings after the first fortnight.

Example: a warehouse in Jebel Ali Free Zone, 70 workers. A 50-seater coach serves the main accommodation block, and a 30-seater mini coach picks up from a second building on the way. Both arrive before the 07:00 shift and leave at 16:00. Between them they keep ten seats free for new starters.

How staff transport is priced

Staff transport contracts are quoted on request, because the price depends entirely on your schedule. We don’t publish monthly route prices. We price the schedule you send as a whole, and the main things that move the figure are:

  • the number of runs per day, and the gaps between them
  • the distance and the time of day, which together decide how long each run takes
  • the working days per week
  • the size and number of vehicles
  • any legs outside Dubai, such as pick-ups in Sharjah or Ajman or a site in Abu Dhabi
  • Salik tolls on the route, which are listed on the quote rather than added later

For reference, our published one-off day rates start from AED 900 per day for the 13-seater van, from AED 1,100 per day for the 30-seater mini coach and from AED 1,450 per day for the 50-seater coach, each for up to 10 hours within Dubai with driver and fuel. Treat them as a guide to single days. A recurring route is priced on its own schedule, and our bus rental price guide explains the day rates. Need a vehicle and driver at your disposal all day rather than a fixed route? That’s monthly bus rental.

Companies with regular transport can open a corporate account with one consolidated monthly invoice, broken down by cost centre on request. Where VAT applies, it is shown on the invoice.

Running a smooth route: tips for HR and admin teams

  • Put the timetable and the meeting points where staff will see them, and update them the day anything changes.
  • Choose a route captain on each vehicle, one employee who confirms numbers with the driver and flags problems early.
  • Agree how long the vehicle waits at each stop, and make sure every passenger knows the rule.
  • Remind staff that belts go on for every journey. UAE law requires one for every passenger, front and rear.
  • Tell us about joiners, leavers and shift changes early, so the route and the vehicle size keep up.
  • Keep one named contact on your side, so changes get agreed quickly.

To ask for a quote, use the booking page and describe the schedule in the notes, or email the details to info@dubaibusservices.com (a simple spreadsheet is ideal). WhatsApp works too, on +971 54 126 1681. A written quote follows, and nothing is charged until you confirm.

Frequently asked.

Quick answers for this trip.

How much does staff transport cost in Dubai?

It depends on the number of runs, the distance, the working days and the vehicle, so we quote staff transport on request for your schedule. For one-off days, our published rates start from AED 900 per day for a 13-seater van and from AED 1,450 per day for a 50-seater coach, with driver and fuel for up to 10 hours within Dubai.

Can you collect staff from Sharjah or Ajman?

Yes. We drive daily to Sharjah, and to the other emirates on request. Morning traffic from Sharjah into Dubai is heavy, so these routes leave early. We set the times from the traffic at the hour you travel and show them on the quote.

Do you provide labour transport for construction sites?

Yes, with air-conditioned vans, mini coaches and 50-seat coaches, one passenger per belted seat. Our largest vehicle seats fifty, so bigger crews travel in several vehicles. Tell us the site gate and any access rules when you ask for a quote.

Will the same driver run our route every day?

We do our best to keep the same driver on a regular route. They learn the meeting points, the gate and the passengers. If continuity matters to your team, say so when you ask for the quote.

Can staff transport be invoiced monthly?

Yes. Companies that book regularly can open a corporate account with one consolidated monthly invoice, broken down by cost centre on request. Where VAT applies, it is shown on the invoice.

What is the smallest staff route you can run?

One van with a driver. For three or four people on a late shift, the seven-seat Mercedes V-Class or even a car can be the sensible choice, and it can sit on the same quote as your larger vehicles.

How do routes change during Ramadan and the summer?

Send us the revised working hours as soon as your company sets them. We re-plan the departure times for the period they apply to and confirm the changes in writing before the new timetable starts.

What happens if an employee misses the bus?

The vehicle runs to the agreed timetable. Agree with us how long it waits at each stop and share that rule with staff, because a bus that waits for one late passenger makes everyone further down the route late too.

Send the shifts. We’ll plan the route.
