An incentive group wants to feel looked after from the airport to the last dinner. Transport is where that feeling is built or lost. This page shows how to plan it and how to get it quoted.
Your reference
Incentive trips reward people. The guests are often sales teams, dealers or top performers, flown in by a company or an agency abroad. They expect a smooth first day, a good dinner, a free afternoon and no surprises. The planner needs a transport partner who treats the whole trip as one programme, not as a set of separate hires.
That is how we quote it. Send the full itinerary and receive a single written quote with each day, each vehicle and each wait listed. You can see where the cost sits and change one day without repricing the rest.
Prices depend on the date and group size. Get yours in a minute.
Get my priceIncentive groups seldom land together. A company of 60 may arrive on four flights from three countries across 14 hours. Treat each flight as its own wave. A driver tracks each one and meets the guests in the hall. A coach collects when numbers justify it, and a smaller vehicle runs when only a few land.
The waiting allowance on the quote decides how long a coach can sit at the airport for a late flight before extra charges apply. Agree it in advance. The big group arrival guide and the airport transfer page show how pick-ups work. Hotel check-in times vary, so ask the hotel about early rooms or luggage storage.
| Moment | Vehicle | Reason |
|---|---|---|
| Airport waves | 50-seater or Sprinter | Match to flight size and bags |
| City tour day | Mini coach | Gets close to sights and streets |
| Gala dinner | Coaches in waves | Everyone arrives dressed and together |
| Leaders and VIP | V-Class or sedan | Flexible, separate schedule |
The V-Class is from AED 1,150 per day and the sedan from AED 950 per day at starting prices. All figures are starting prices, and the quote confirms the exact ones.
The gala is the one moment where timing is tight and the guests are at their best. Guests in evening dress. A venue with a red carpet and a photographer. If three coaches arrive at once with no plan, the carpet jams.
Agree an arrival window for each coach with the venue. Tell us the drop-off point and the gap between vehicles. For the return, expect guests to leave over a long stretch. Keep one coach for the early leavers and one for the last, and the quote can state the waiting for each. See the event transport page for how evening moves are handled.
Free days cause the most confusion. Some guests want the beach, some want a mall, some want a desert evening. Offering a fixed coach at a set time to two or three places keeps cost under control, and anyone who wants something else can arrange it separately.
We do not sell tours or tickets. We provide the vehicle and driver, and you or your destination agency provide the programme. For a desert evening, the desert safari transport guide sets out how transfers work, and the city tour by minibus guide helps for a sightseeing day.
This is an illustration. Dates, venues and flights are examples.
The quote lists each of these lines. Starting prices apply to each day, and the written figure for your dates is what you confirm.
The planner holds the programme and the guest list. The destination agency, if any, holds venue bookings. We hold vehicles, drivers and timing. A single contact on each side avoids mixed messages. The group leader on site tells the driver about any change, and the driver follows the quote unless the change is small.
Treating arrival day as simple. Forgetting that the gala ends later than planned. Booking the same coach for a morning tour and an evening gala without checking the hours. Not telling us about guests with limited mobility, which affects vehicle choice. And not checking the current rules for public holidays or Ramadan, whose dates vary each year and change what is open and when.
Incentive guests are on holiday, even when the company is paying. A tight schedule from breakfast to midnight is not what they want. Leave real gaps, and tell the driver the gaps are real. A vehicle that waits at a hotel for a guest who decided to nap is not a failure of planning.
Many planners add a flexible afternoon with a coach available on a loop. Guests who want the mall go to the mall. Guests who want the pool stay. The coach returns at set times.
Agencies often pass quotes to a client with a margin added. A quote broken into lines for arrival, each day, the gala and departure makes that easy. You can show the client the per-day cost, remove a day, or swap a vehicle without a new quote from scratch.
Ask us to format it that way. We list every day with its vehicle, hours and waiting, and the written figure is what you confirm.
Incentive guests remember the first hour and the last one. The first sets the tone: a driver in the hall with a clear sign, bags loaded quickly, cool air in the cabin. The last decides the memory of the trip: a coach on time, a driver who helps with bags, and no scramble at the airport kerb.
For departures, build more time than you think you need. A group of 50 checking in at once can take an hour at the desk. Set the coach times from the airline’s check-in guidance, not from the flight time, and spread the departures if the group leaves on several flights.
Tell us the flight numbers, the check-in advice for each, and any guests who want to leave later or earlier than the main party. We shape the final run around those.
Send the group size, flight details, hotel names, the day-by-day plan and the venue addresses through the booking page. Read the price page for starting figures and the page on 100 guests if your group is that large.
One last piece of advice for planners abroad: confirm hotels early. Transport is built around the hotel addresses and their coach arrangements, and a change of hotel after the quote means a new plan. If a hotel is still being negotiated, send the shortlist and we can say which options are easiest for coaches.
