A hundred guests is not one big booking. It is a small operation with several vehicles, several waves and one person who owns the clock. This page explains how it is built.
Your reference
Two 50-seat coaches seat exactly 100. That sounds neat, and it is a mistake. Add the group leader, two guides, a photographer and a hotel host, and you are over the limit. Add bags, and the holds are full with no margin.
The safer plan is two 50-seaters for the guests and a third vehicle, a mini coach or a 13-seater van, for leaders, staff and any overflow. A spare seat per coach also saves you on the day when a late guest turns up, which in a group of 100 is nearly certain.
Prices depend on the date and group size. Get yours in a minute.
Get my price| Plan | Seats | Starting price per day | Note |
|---|---|---|---|
| Two 50-seaters | 100 | AED 2,900 | No spare seats, tight |
| Two 50-seaters plus a mini coach | 122 to 130 | AED 4,000 | Staff and overflow have a seat |
| Three 50-seaters | 150 | AED 4,350 | Bags in the holds with room |
These are sums of starting prices (1,450 and 1,100 per day) and are examples. Your written quote confirms the exact price for your date, route and hours.
A hotel lobby that is happy with 20 guests leaving can be unhappy with 100. Coaches queue, the driveway blocks, and the last guest to board waits in the heat. Staggering departures by 10 to 15 minutes per coach avoids all of that.
Plan the first wave around the group with the earliest start or the longest drive. The second and third follow. Decide in advance which coach carries which guests, and print or send the list. A guest who is on the wrong coach at a venue gate is a small headache. A guest on the wrong coach at an airport is a large one.
Airports are where large groups lose the most time. A flight with 100 of your guests on it spends time at immigration and the baggage belt, and the coaches cannot move until the bags are loaded. If the group arrives on several flights, we recommend collecting each flight separately for the first wave and combining only when numbers are small.
Read the big group arrival guide for the hall layout, and the airport transfer page for how pick-ups are priced. The driver tracks each flight, so delays move the pick-up, and the quote states the waiting allowance.
This is the single biggest factor in whether 100 guests move well. You need one named person on your side who holds the guest lists and decides changes, and we name one contact on ours. Two or more people instructing drivers will create conflicting orders within the first hour.
Give your coordinator the driver contact for each coach, the departure times, the coach numbers and the passenger lists. Have each coach carry a visible number in the windscreen or a sign, so guests find their coach.
The holds on each 50-seater take about one medium suitcase per passenger. A group of 100 with a suitcase each therefore fills both holds. A group with two bags each needs a luggage vehicle. A 13-seater van with the rear seats left empty is a common choice.
If your guests arrive with different airline allowances, count the real bags in advance. A rough number is not enough at this size.
Illustrative. A company hosts a dinner for 100 at a hotel venue in Dubai.
Good plans accept that some guests leave early. A third vehicle on standby with a longer waiting allowance handles the late ones without holding the rest. Ask for that in the quote. The event transport page covers evening moves more widely.
Three coaches at once need space. Many venues have a defined coach bay, and some ask for the plate numbers and arrival times in advance. Tell us the venue and its rules, and we send the registration details once the vehicles are assigned. We cannot promise a particular parking spot, and venue staff decide where coaches stand.
Extra hours, a day outside Dubai, tolls, parking, waiting and each additional vehicle all appear on the quote. For a large group, ask for the quote in sections: arrival, daily programme, departure. That way you can adjust one section without repricing the rest. All starting prices are on the price page.
With three or four vehicles, one will have a problem at some point. A flat tyre, a long queue at a venue gate, a guest who is taken ill. Agree the contingency before the day. Which vehicle takes the overflow? Who calls the other drivers? What is the latest time the group can leave a venue and still make the next stop?
We keep the driver contact list in one place and share it with your coordinator. If a vehicle must be replaced, we say so quickly and name the replacement. We do not promise that nothing will go wrong. We promise to tell you when it does, and what the next step is.
A hundred guests need a list. Name, hotel, coach number and mobile number. A single spreadsheet shared with the coordinator and the drivers’ lead avoids the argument at the kerb. Print a copy for each coach leader.
If guests have mobility needs or dietary or medical notes, mark them. We do not need personal details, only what affects the vehicle, such as step-free boarding or a seat near the door.
Three full-size coaches suit a group that stays together and travels long distances. A mix of two coaches and one mini coach suits a group that has leaders, VIPs or a smaller side party. The mix costs less at starting prices (AED 4,000 against AED 4,350 in the example above), and the mini coach reaches places the large ones cannot.
There is no single right answer. Send the guest breakdown, and we suggest a mix. We would rather build the plan around how your group moves than around the vehicle count.
For a group of 100, ask for a quote at least three to four weeks ahead when you can, because coaches are shared between many events in the cooler months. Use the booking page, or see the related pages on incentive trips and 40 people.
Three or four weeks is a guide, not a rule. If your dates fall in a busy week for the city, ask earlier. If your numbers are not final, give us the range and the date the number becomes firm, and we plan around both.
One last point for overseas organisers: send the same plan to your on-site contact in Dubai, if you have one. Two people who know the plan are better than one person with a phone and a long flight.

Quick answers for this trip.
Two 50-seaters seat exactly 100, which leaves no room for staff or bags. We recommend a third vehicle for leaders and overflow.
Each 50-seater starts from AED 1,450 per day, so two start from AED 2,900 and a mini coach adds from AED 1,100. The written quote confirms the exact figure.
They can, but hotel lobbies and venue gates often cannot cope. Staggering by 10 to 15 minutes works better.
One named person on your side and one on ours. Everyone else passes changes through them.
Number each coach and give guests the number in advance. A sign in the windscreen helps.
Yes, a 13-seater van can run as a luggage chase vehicle. Tell us the bag count.
As soon as dates and numbers are firm. In the cooler months, three to four weeks gives better choice.
