UAE study tours: ground transport planned

Published school itineraries show a pattern: a base in Dubai, company visits in more than one emirate, one or two days in Abu Dhabi. This page sets out the driving arithmetic behind that week, so a programme manager can see what the coach does each day.

What a study tour asks of the coach

School pages describing MBA study trips to the UAE read alike. A week to ten days. Dubai as the base. Visits to firms in finance, energy, logistics and sustainability. A day or two in Abu Dhabi, often with a heritage stop and a sustainability site. We name no schools. We use their pattern to plan.

The transport job is not the long drive. It is the string of short legs between hosts, each with a start time that somebody else controls. A coach that arrives ten minutes late at a firm’s reception costs the whole afternoon. A coach that waits in the wrong place costs the same.

We provide the vehicle and the driver. We do not arrange company visits, and we are not guides. Hosts, speakers and the programme belong to your school and the firms. Our guide to trade mission ground transport runs the same logic for a four-day business delegation.

Legs that shape the week

These are approximate figures from OpenStreetMap routing with no traffic. Google Maps on the day will differ, and you should allow more at peak times. Dubai Mall stands in for the Downtown and DIFC area.

LegApproximate time
Dubai Mall to Abu Dhabi Corniche75 to 95 minutes, roughly 146 km
Dubai Mall to Masdar City60 to 80 minutes, roughly 115 km
Dubai Marina to Masdar City50 to 65 minutes, roughly 95 km
Abu Dhabi Corniche to Masdar City25 to 35 minutes, roughly 37 km
Sheikh Zayed Grand Mosque to Masdar City15 to 20 minutes, roughly 19 km
Qasr Al Watan to Masdar City25 to 35 minutes, roughly 38 km
DXB Terminal 3 to Masdar City70 to 85 minutes, roughly 126 km

Our own Dubai to Abu Dhabi pages put the road at about 1 hour 30 minutes outside the rush hours. A day with three meetings in Abu Dhabi, driven from a Dubai hotel and back, is about three hours of driving before you add any local leg. Leave Abu Dhabi before the evening exodus, as the same-day business trip guide explains.

A week, day by day

This is an example shape. Replace each line with your own programme.

DayProgrammeWhat the vehicle does
1Arrival, briefing at the hotelAirport meet, one coach for the group plus a luggage vehicle if bags need it
2Two or three firm visits in Dubai, lunch with a hostDay coach, waits at each host
3Visits around DIFC and Downtown, a cultural stopDay coach, or two vans if the group splits
4Abu Dhabi: two visits and a heritage or sustainability stopIntercity day, hours stated on the quote
5Dubai again, free afternoonCoach released after the last visit

Some published itineraries include a mosque stop. Our page on Jumeirah Mosque group visit transport covers that one, since its sessions are fixed by the centre that runs it and shape the whole morning. For other stops in the old districts, the plan is in our private minibus city tour guide.

One coach or two vans

Seats come first, then bags on arrival and departure days. Seat and luggage counts are from our fleet pages, and a bag means a medium suitcase.

17 to 3030-seater mini coach22 to 30Around 20
31 to 5050-seater coachUp to 50Around 50

A cohort of 38 students and programme staff fits one 50-seater with room for notes and bags. Two vans make sense when the group splits for parallel visits. Mid-programme moves are lighter, because most luggage stays at the hotel. Arrival and departure days are where bags decide the vehicle: see how many suitcases fit in each vehicle, and landing a big group at DXB for the time from landing to kerb.

Waiting at hosts

The coach waits while the group is inside. We do not know the vehicle access rules at any company, and we will not guess. Ask each host four things: where a coach may stop and wait, which door the group uses, who meets it there, and whether the host needs names or vehicle details beforehand. We check the drop-off and waiting area before the day.

Put the answers on a one-page host list: firm, address, contact, arrival time, drop-off, waiting spot. Pair it with the tour leader briefing sheet for the students. Add ten minutes at each stop to count heads. A student cohort in a hurry is the easiest group to lose a minute in.

If one host is in a tight street or a small forecourt, a coach may not fit. The guide to tight streets and hotel entrances covers mixing sizes on one quote.

Long days and the Abu Dhabi legs

Our day rate covers a set number of hours within Dubai, and a day that leaves Dubai is quoted as an intercity day. Ask for the hours to be stated on the quote. A driver’s day that starts at the hotel at 7:30 and ends after an evening reception should be split into a day coach and a separate transfer. The Abu Dhabi transfers page covers one-way and intercity runs.

If the group changes hotel between the two cities, treat the move as its own line, with bags counted. We do not book hotels.

Entry rules depend on your passport. Check the official UAE government visa page. We say no more than that.

What to send for a quote

Send the dates, the head count including staff, the hotels, the arrival and departure flights and the programme with times. Add the host list when you have it. Ask for a fixed written quote, one line per day, with each vehicle and the hours. Start from the booking page, or see the ground transport RFP checklist if your school needs a formal request.

Frequently asked.

Quick answers for this trip.

How long is the drive from Dubai to Masdar City?

About 60 to 80 minutes from Downtown or the Dubai Mall, roughly 115 km. Approximate, from OpenStreetMap routing with no traffic. Allow more at peak times.

Can the coach wait while we are inside a company visit?

Yes, the driver waits. We cannot say what each firm allows for coach stopping, so we ask the host and confirm the drop-off in the quote.

Do you arrange the company visits?

No. Visits, speakers and hosts belong to your school and the firms. We provide the vehicle and the driver.

One coach or two vans for 24 students?

One 30-seater mini coach usually works for seats. Two 13-seater vans suit a group that splits for parallel visits.

Can a day cover Dubai and Abu Dhabi?

Yes, as an intercity day with the hours stated on the quote. See the Abu Dhabi transfers page.

How do we handle luggage on arrival day?

Count medium suitcases against the table above, and add a luggage vehicle if the coach is full on seats. The suitcase guide has every vehicle.

Do drivers act as guides?

No. Drivers are not licensed guides. Bring one if you want commentary and we plan around the guide’s schedule.

How do we get a quote?

Send the dates, head count, hotels and programme through the booking page. We reply with a fixed written quote.
