World Health Expo delegate transport in Dubai

Hospital groups, ministry delegations and supplier teams all fly in for the same four days, and the show is listed across two venues, which makes the shuttle plan a real job.

A healthcare show on two sites

World Health Expo, known for years as Arab Health, is listed for 25 to 28 January 2027. The organiser lists the main exhibition at the Dubai Exhibition Centre at Expo City, with some of the conference and technology programme at the Dubai World Trade Centre (DWTC). Some content runs for fewer days than the main show, so check the organiser’s programme for which day each stream falls on.

For a delegation leader this changes the question. It is no longer "how do we get to the show?" but "where does each person need to be at what time, and how do they get from one site to the other?". We have not verified the organiser’s own shuttle plan, so ask them what they run and where it stops, then tell us what gaps remain.

Airport arrival for a delegation

Delegations tend to arrive in clusters. A national pavilion from Asia, Africa or Europe may fly together on one aircraft or on several services within a few hours. The group leader sends the flight numbers and we meet each cluster in the arrivals hall with a driver holding a name sign.

If the delegation includes senior officials, a separate car in front of the coach is a common request. The executive sedan or luxury SUV take a minister or a hospital director, while the coach takes the team. Read the big group arrival guide and the terminal pickup guide for how we meet a party of 30.

Medical equipment and sample cases are not the same as bags. If the team carries devices, brochures or demonstration kit, tell us the number, size and rough weight at the quote stage, so the vehicle suits.

Which hotel, which venue, which road

Dubai is long and thin, and hotel areas run along the coast and the creek. Delegates at Downtown, Business Bay or DIFC are generally closer to DWTC. Those at Dubai Marina, JBR or Palm Jumeirah are further from both, and the drive to Expo City is longer. We give no fixed minutes because the traffic windows decide them: the morning peak and the evening peak make the same journey take much longer than at midday.

The simplest rule is to choose one base hotel area for the whole delegation if you can, so one vehicle serves everyone. If rooms are scattered, tell us each hotel and we plan one loop that collects the group. Our hotel shuttle guide, written for another large show at Expo City, explains how a loop is built and why the first pickup should be earlier than people expect.

Shuttle plan across the two venues

Venue to venue on a conference daySprinter on callA smaller team with sessions at both sites
Senior delegatesChauffeured car by the dayMeetings off site between sessions
Exhibitor crew with kit13-seater van or mini coachEarly set-up and late pack-down

The exhibition visitor shuttle page describes how a loop runs, with stops, headcounts and waiting. For a delegation with a very full diary, a vehicle on a day rate with the driver waiting is usually simpler than point-to-point trips.

Exhibitor teams: set-up days and kit

Exhibitors arrive before the visitors and leave after. Stand builders and brand teams may need access on the set-up days, which the organiser sets. Ask for the exhibitor manual and the vehicle access rules for loading, because they limit what time and where a vehicle may stop.

We carry people and their bags, not freight. Freight forwarders and the organiser’s official contractors handle crates and stand material. Your team’s hand luggage, laptops, brochure boxes and small demonstration items can go in our vehicles, and for those our exhibitor team guide explains loading and early set-up runs in detail.

Gala dinners and evening events

A healthcare show brings receptions and dinners around it. Companies host clients, and national pavilions host their own evenings. These are the nights when a coach full of formal dress needs a drop-off at the door, not at the hotel gate.

Give us the venue address and the finish time. If the end time is open, ask for hourly waiting on the quote. The conference delegate transport page covers dinners and late returns in more detail. For formal events with senior guests, VIP event chauffeurs are the matching service.

An example: a 22-person hospital delegation

Doctors and administrators from one country, staying near Business Bay

This is an example to show the shape of a booking, not a quote. The group of 22 lands in two flights on the day before the show. A 30-seater mini coach meets both, and goes to the hotel with a 3-hour gap. Over four days the same coach and driver do a morning run to the venue and an evening run back, with a mid-day return for the delegates who go to the second site.

The day rate on our price page starts from AED 1,100 for a 30-seater mini coach for a full day of up to 10 hours with driver and fuel. Four such days would start from AED 4,400 as an example of multiplying that figure, before airport runs and an evening dinner are added. The written quote confirms the exact price for your dates, route and hours.

Timing and buffers

Large trade shows concentrate arrivals. Most visitors come in the morning, and many leave in the early evening, and the road and the entrance queues follow that rhythm. We suggest leaving the hotel earlier than the first session needs, and leaving the venue a little before the evening rush if the programme allows.

A day of 25 January may look different from 28 January. The opening day is usually the busiest, and the last day often ends earlier. Agree the return time each evening with the group leader, and write down the next morning’s pickup. If a meeting runs late, the driver waits and the hours are billed as set out in the quote.

What we need to quote

Send the dates, the airports and flight numbers, the hotels, the number of delegates and officials, the number of bags and kit cases, the venues you plan to visit each day, and any evening events. We reply with a fixed written quote in AED. Use the booking page, and check the price page for starting rates. If your group also comes for another show, the GITEX transport guide shows how we plan a week at Expo City.
