Delegates do not want to think about transport. They want a coach at the lobby at the right time. This page explains how a shuttle loop works and what the organiser must decide first.
Your reference
Before choosing coaches, decide how delegates will travel. Option one: a fixed loop, with coaches running between hotel and venue at set times. Option two: pick-ups on request, by group. Option three: delegates arrange their own. Most organisers of overseas delegations choose option one, because it removes uncertainty and fills coaches.
The loop is built from three numbers: how many delegates stay at each hotel, how long the drive takes, and when sessions begin and end. We build the rest from those.
Prices depend on the date and group size. Get yours in a minute.
Get my priceTake 120 delegates at two hotels, each about 20 minutes from the venue. Sessions open at 09:00. You do not send all 120 at once. You send a coach from each hotel at 07:45, 08:00 and 08:15, so that the last arrives before the opening plenary. The same coaches run back in the evening.
| Delegates at hotel | Loop vehicles | Departure pattern |
|---|---|---|
| Up to 30 | One mini coach | Two departures before the opening |
| 31 to 50 | One 50-seater | One or two departures |
| 51 to 100 | Two 50-seaters | Staggered, 10 to 15 minutes apart |
| Over 100 | Three or more coaches | Waves with a coordinator |
Starting prices are on the price page: the mini coach from AED 1,100 per day and the 50-seater from AED 1,450 per day. A loop that runs all day is priced by the hours booked, and the quote confirms the exact figure.
A conference loop has two heavy moments, morning arrival and evening departure. The middle of the day is quieter, and good plans use it. One coach stays on standby for delegates who must return to the hotel, for a speaker who needs a fresh shirt, for a late arrival from the airport.
Do not run full coaches empty at midday. Cut the loop to one vehicle and release the others. The quote can be built that way, with fewer vehicle hours in the middle. The organiser should check the programme with the venue, because session times change late. Ask the organiser or venue for dates, opening hours and entry rules.
Delegates arrive over two or three days, often in clusters on the same flights. A wave plan sends a coach when a cluster lands, with flight numbers on the quote. The driver tracks the landing time and meets the group in the hall. Small clusters use a Sprinter or van, large ones a coach.
Our airport transfer page and the big group arrival guide explain pick-ups and the hall. Ask the hotel about early check-in, since coaches often arrive before rooms are ready.
Delegates should know the departure time, the coach number and the pick-up point before they leave their room. A card in the welcome pack works. A line in a conference app works better. Put a printed sign at the hotel entrance with the coach times.
Keep the information the same everywhere. If the app says 08:00 and the sign says 08:10, delegates trust neither.
Speakers and sponsors often need their own timing. A V-Class from AED 1,150 per day or a sedan from AED 950 per day at starting prices can run alongside the delegate loop. Both are priced on the same quote, so the organiser sees the whole transport cost in one place.
An example for 80 delegates at one hotel, venue about 25 minutes away.
Two 50-seaters are used in the morning and evening, and one at midday. The quote shows the hours for each.
Give us the exact venue entrance for coaches. Large venues have several, and delegates need the one nearest the registration desk. Ask about parking and the vehicle registration list. Check how coaches queue at peak times. Public holidays and religious periods vary each year, so confirm dates with the organiser.
Conferences end later than printed. A closing speech runs over, a networking hour extends, a sponsor reception stretches to ten. The shuttle has to be built for the real end, not the programme end. Ask the organiser to name a "soft close" and a "hard close", and plan the last coach for the hard one.
Waiting after hours is priced on the quote. If you want to avoid it, run the last departures in smaller vehicles, so they leave as soon as they fill.
Some delegates will use wheelchairs or have mobility needs. Some will travel with a colleague or an assistant. Ask the registration form to capture it, and send us the count, not the names. A coach can carry folding wheelchairs in the hold, and a smaller vehicle with easier boarding can run alongside the main loop.
A conference loop is priced by vehicle and hours. A coach that runs for four hours at the start of the day and four at the end, with a gap, can be booked as two blocks. Ask for both options. A single all-day booking is simple, but two blocks with a midday gap can cost less if the vehicle is released.
Extra items on the quote include tolls, parking and waiting beyond the allowance. We list each one, so the organiser sees the full cost. For a multi-day congress, ask for the same driver each day, which helps because the driver learns the hotel and the venue entrance.
The price page at bus rental prices in Dubai has every starting figure. Your written quote confirms the exact price for your dates, route and hours.
Send hotel names, delegate numbers by hotel, venue, session times and flight lists through the booking page. If your delegates also need a roadshow or exhibition link, see roadshow transport and exhibition shuttles.
One more detail that organisers overlook is the badge. Delegates who wear their conference badge are easy for a venue or hotel to identify, and some venues let badge holders through a faster coach lane. Ask the venue whether that applies, and tell delegates to wear the badge on the coach.
Finally, assign a named transport lead on the organising team. That person receives our driver contacts, signs off the loop, and answers when a delegate has a problem. Without one, every message goes to the conference director, who has other things to do. With one, the loop runs without much attention at all.
We keep the plan simple on purpose. A loop that is easy to explain to 300 delegates is a loop that works.
