A cycling club trip, to Expo City.

The event and its dates

The organiser’s site lists the 17th edition main event on Sunday 7 February 2027, 94.1 km, at Expo City Dubai, Al Forsan Park. It is a UCI Gran Fondo World Championships 2027 qualifier, held with the Dubai Sports Council. The categories are Invitational and Elite licence for ages 19 and over, 19 and over UCI Gran Fondo Qualifier, and Juniors for ages 16 to 18. We sell no entries and print no fees.

Sources differ on the date. The Dubai Sports Council calendar, as reported by media, shows 7 to 8 February, while the organiser lists Sunday 7 February 2027 only, and one line on the organiser’s homepage still says “7 February 2026”. We trust the organiser’s race schedule and tell you to confirm on its site.

The series called Aster BIG 5 is four build-up rides plus the main event, 322 km in all. The build-up rides are listed for 13 September and 18 October 2026, which have passed, and for 22 November 2026 (65 km) and 9 January 2027 (85 km). A club that arrives early can use them as part of its trip.

Race pack and the early start

The organiser’s FAQ says to bring a passport or Emirates ID for the race pack. Someone else can collect with a copy of the rider’s ID and a letter or email. There is no race pack collection on race day for the junior rides and the main event, so every rider needs a collection plan before the Sunday.

The 2027 start waves are not published. A travel operator’s page says that in 2026 the elite wave started at 06:10 and the qualifier wave between 06:15 and 06:30, and that is a past edition, so do not plan on those times. If the start is again before dawn, the clock matters. RTA’s published hours open the Metro at 08:00 on a Sunday, so a rider could not reach an early start by Metro from Expo 2020 Station or anywhere else.

How far Expo City is

The venue’s own estimate, quoted on the Automechanika organiser’s page, is about 40 km from Dubai Airport and 35 to 45 minutes depending on traffic. Our routing model, built on OpenStreetMap data with no traffic and no closures, gives about 51 km and about 57 minutes from the airport. We pick no winner and ask you to use the venue’s range, and to allow more on race morning.

Bikes: what we can and cannot do

Our passenger vehicles are not bike carriers. We publish no bike capacity for any vehicle, we do not handle bike boxes, and we make no claim about mechanics or bike service. If your club wants us for the people, tell us how many riders and how many bags there are, and we say honestly what fits.

We also found no published bike drop or storage at Expo City. Ask the organiser. We agree a drop-off point and a collection point with you once the organiser publishes its notices, and we cannot promise a stop at the start area.

Planning the trip

A club on a winter training trip usually needs the airport run, a weekly rhythm of rides from the hotel, and the race weekend. For the race weekend, agree one pick-up time and place at the hotel, give it to the riders in writing, and keep a margin for the approach to the park. For the return, keep a fixed collection time with a margin, because riders finish at different times.

Choosing the vehicle

Count the bags with the people. Our guide figures:

• Mercedes V-Class: up to 7 passengers and 6 bags.
• 13-seater HiAce: up to 13 passengers and about 10 suitcases.
• Mercedes Sprinter: up to 16 passengers and up to 12 suitcases.
• 30-seater mini coach and 50-seater coach for larger clubs.

How a booked vehicle fits

1. Send the plan. Dates, flights, hotel area, party size and the wave or start time once the organiser gives it.
2. Ask for a fixed written quote. Nothing is charged until you confirm.
3. Read the pick-up and drop-off arrangement. The quote states it, and we update it when the organiser publishes its notices.
4. Agree the return time. We plan the margin and tell you what is not yet published.
5. Tell us if plans change. We adjust where we can, and cannot promise to beat traffic or closures.
