A roadshow is a timetable on wheels. A team lands, sets up, presents, packs and moves, sometimes four times in a day. Transport has to keep to the clock and carry the kit.
Your reference
A normal group transfer is about people. A roadshow is about people, kit and time. The team may include presenters, sales staff, a technical crew, a host and a client escort. They carry laptops, banners, demo units and sometimes boxes of printed material. They need to be in the next venue before the audience arrives, not after.
The transport plan therefore starts with the run sheet, not the headcount. Send us the venue list, the doors-open time at each and the time you need on site to set up. We work backwards from those.
Prices depend on the date and group size. Get yours in a minute.
Get my priceMany roadshows move best with a people vehicle and a kit vehicle. The team goes in a Sprinter or van. The kit travels in a second vehicle that leaves earlier, so set-up has started when the presenters arrive.
| Team | Kit | Likely plan |
|---|---|---|
| 8 to 10 people | Laptops and a few boxes | One 13-seater van, rear seats used for kit |
| 12 to 16 people | Banners and display cases | One Sprinter plus a van for kit |
| 20 to 30 people | Moderate | One mini coach, kit in the rear space |
| 35 to 50 people | Heavy | One 50-seater, holds for kit |

Dubai’s roads are fast outside peak periods and slow inside them. A hop that takes 20 minutes mid-morning can take much longer in the evening rush or on a Friday afternoon, and the drive between districts such as Downtown, Business Bay, DIFC and the Marina changes by hour. We do not quote fixed journey times, because they depend on the day. We give the driver a buffer for each leg and tell you which legs are most exposed.
Plan the hardest hop, the one that crosses the city at rush hour, to be the shortest wait for the audience. If you can, put the long drive at the start of the day, not in the middle.
Tell us the shapes, not just the weights. A roll-up banner stand is long and thin. A demo unit is a box. A display wall is a stack of panels. The 13-seater van has about 10 bags of rear space, the Sprinter about 12, the mini coach about 20. Long items may fit across seats if the team is small.
Heavy kit needs hands. The driver helps load, but a roadshow crew should have its own people at both ends. Do not assume a hotel porter will handle a flight case.
This is an example, not a promise of timings. A team of 14 with a van of kit presents in four places.
That is a long day. If it runs past the booked 10 hours, extra hours are priced on the quote. Ask for the hours to match the plan.
Conference halls and hotels have loading bays, and they may need notice. Corporate towers often restrict vehicles above a certain height. Give us each address and the contact at the venue. The driver can then ask for the right bay and tell you where to meet.
If a venue wants vehicle registration numbers in advance, we send them as soon as the vehicle is assigned.
The roadshow lead owns the timetable. The driver owns the route and the vehicle. A team member nominated as "kit lead" owns the cases. Keep these separate. If the lead is also loading boxes, the schedule slips.
Agree a code word for "we are running late". It saves a lot of phone calls.
Roadshows are usually booked by the day or by the programme. The starting day rate covers up to 10 hours within Dubai with driver and fuel. A multi-city tour, with Abu Dhabi or Sharjah on the list, is quoted with intercity days. Multi-day roadshows can keep the same vehicle and driver across days if you ask. A written quote lists every day.
For longer relationships, the staff transport and monthly bus rental pages show how regular hire is structured.
Morning and evening rush hours are the obvious ones. Less obvious are Friday midday, when the roads change character, and the hours around big events in the city. If your roadshow lands in a week with a major show or match, ask the organisers about road closures and add buffer to every leg.
The driver knows which routes slow first. Listen to a suggested change of order. Swapping venue two and venue three can save an hour.
At each venue, one person should be the "door opener". They go in first, find the contact, check the room and signal the team. The rest of the crew unloads in order, with the heaviest kit first. At the end of the session, the same person closes out, counts the cases and confirms the next address with the driver. It sounds basic. It is the difference between a 20-minute and a 50-minute turnaround.
Some roadshows add Abu Dhabi or Sharjah to a Dubai programme. That changes the quote, because an intercity day is priced differently from a day within Dubai, and tolls are listed. It also changes the timing. Allow generous buffers on the roads between cities, and leave the schedule open at the end for traffic you cannot predict.
See the Abu Dhabi and intercity transfer page for how those days are handled. If the team will stay in the second city overnight, tell us. The driver and vehicle can stay with you, or we can arrange a fresh vehicle on the other side, whichever suits the programme.
Always check that the venue in each city can take the vehicle you have chosen. A coach that suits a Dubai hotel may not fit the loading bay at a smaller venue.
Send the venue list, run sheet, headcount and kit list through the booking page. Related reading: conference delegate transport and exhibition shuttles.
Roadshow budgets are often fixed in advance, with transport a small line. Ask for the quote early so the budget reflects the real cost. A multi-venue day with a kit vehicle and a people vehicle is a larger line than most first estimates assume.
If the roadshow repeats in other cities, tell us. A written record of how this day ran, with the timings that worked, helps the next one.
