Decide what the retreat actually needs

A retreat can mean a two-day offsite in a hotel, a team-building day in the desert or a leadership weekend on the coast. The transport needs differ. A hotel offsite needs airport pickups and perhaps a dinner run. A desert day needs a reliable early start and a driver who knows the gate. A multi-venue programme needs a coach that follows the agenda.

Write down the programme in blocks, each with a time, a place and a headcount. That is the document we quote from.

Split arrivals: not everyone lands together

Staff from different offices arrive on different flights. The Mumbai team lands on a morning flight, the Londoners at night, and the regional head flies in from another emirate by road. Treat each group as its own pickup.

We build a pickup schedule from your flight list: which vehicle, which arrival hall, which hotel. Smaller parties go in a V-Class or 13-seater van. Larger waves go in a coach. Our group arrival guide and the airport transfer page give the details.

Desert and coastal venues: what to check

A desert camp or a beach resort often has a long access road or a gate with limited space. Ask the venue three questions: where can a coach park, what is the maximum vehicle size and how long does the drive take from the city. Pass the answers to us before we quote. A mini coach reaches more places than a 50-seater.

Pick the vehicle by team size

The starting rate covers up to 10 hours with driver and fuel. The written quote confirms the exact price for your date, route and hours. For senior leadership who want a more private ride, the corporate chauffeur service runs alongside a coach.

The coordinator and the driver

Name one person as the retreat coordinator. That person talks to the driver, shares the driver’s number with the team leads and decides on changes. A driver who takes calls from three people gets three different answers, and the day slows down.

We send the driver’s details before the day. On the day the driver arrives ten minutes early with the cabin cool and waits at the meeting point. If a person is late the coordinator, not the driver, decides how long to wait.

An example: 70 staff, a one-day desert retreat

This is an example only. Seventy staff go from a Business Bay hotel to a desert camp for a team day and return after dinner. One 50-seater coach and one mini coach carry them, 80 seats in all.

At starting rates the two day rates are from AED 1,450 and AED 1,100, so AED 2,550 for the day before extra hours or waiting that your own programme needs. If the dinner goes late, the quote shows the rate for extra hours.

The return trip and the early flight problem

Retreats often end with a dinner and an early flight home the next morning. Don’t schedule a 06:00 airport run for a team that finishes at midnight unless you must. Build the airport transfer into the quote with flight numbers, and ask if the driver can stay on site until the late end of the event.

What the company handles itself

Venue booking, activities, insurance and any health and safety rules are your side. Check each venue for its entry rules. We provide the transport. We do not give visa advice: use the official ICP and GDRFA sites for entry rules. Public holidays and Ramadan dates vary each year, which can change road conditions and the venue’s hours.
