For 36 to 45 guests there are two sensible answers and one trap. This page sets out both answers, the trap, and the numbers that decide between them.
Your reference
We do not run a true 40-seat bus. Our two coach sizes are the mini coach with 22 to 30 seats and the 50-seater. Forty falls between them, so the question is how to cover it without wasting money or splitting the group.
Most planners end up with one 50-seat coach. Ten empty seats are not a problem. They are space for bags on the seats, for the guest who wants to sit alone, and for the late addition.
Prices depend on the date and group size. Get yours in a minute.
Get my priceOne vehicle, one driver, one arrival time. From AED 1,450 per day at starting prices for up to 10 hours within Dubai, with driver and fuel. The holds take about one medium suitcase per passenger, so 40 guests with a bag each uses most of the space, and the PA system helps a guide manage a group that size.
This is the cleanest plan for a single programme. See the 50 seater page for the coach itself.
A 30-seat mini coach at AED 1,100 and a 13-seater van at AED 900 seat 43 together. That is AED 2,000 at starting prices against AED 1,450 for the one coach, so you pay more for less certainty. Two vehicles also mean two drivers and two sets of parking.
So why would anyone choose it? Two cases. The pick-ups are in two different places and one vehicle would waste an hour collecting. Or the venue has a road or gate that a full-size coach cannot use, and the mini coach can.
Some planners, seeing 40, book a Sprinter, a van and a car to keep things "flexible". It gets expensive, and every extra vehicle adds a place for the group to lose its shape. If someone proposes more than two vehicles for 40 guests on a single programme, ask why.
| Plan | Seats | Drivers | Starting price per day | Best when |
|---|---|---|---|---|
| One 50-seater | 50 | 1 | AED 1,450 | One programme, one route |
| Mini coach plus van | 43 at most | 2 | AED 2,000 | Two pick-up areas or tight access |
| Two mini coaches | 44 to 60 | 2 | AED 2,200 | Group splits for the day |
The totals are simple sums of starting prices and are examples. The written quote sets the real figures for your date and hours.
The people who sit furthest back feel the road most. If a few guests get travel sick, give them seats near the front before anyone boards. Group leaders should sit near the door so that they can count heads without walking the aisle.
Use the spare ten seats. A leader’s bag, a box of water, an umbrella. Overhead racks are for hand luggage only, so the spare seats stop the aisle becoming a luggage rack.
Boarding 40 people takes longer than most planners expect, usually 10 to 15 minutes at a hotel with a door that is not right beside the coach. Add the same again for bags. If your programme has a hard start at a venue, put the pick-up earlier than the map suggests.
At venues, 40 guests leaving a coach together can block a driveway. Ask your venue whether it has a drop-off point, and tell us the answer. The hotel transfer guide for tour operators goes through hotel lobbies and coach bays in detail.
Illustrative only. A company brings 38 delegates from overseas for a two-day meeting.
One coach covers the lot. The alternative of two vehicles at the airport would mean a second driver for a single bag-heavy morning, which rarely pays. The conference delegate page goes deeper into this pattern.
Forty guests produce at least one latecomer. Plan a ten-minute buffer in the morning, and tell the group leader that the coach leaves at the time on the schedule, not the time the last guest appears. The coach can wait, but every minute of waiting is time the rest of the group does not get at the venue.
For luggage, count again at the last moment. A guest who adds an extra bag at the airport can push the hold past its limit. Ask each guest to confirm the number of bags the night before.
If your group lands in the early hours, remember that hotel rooms are often not ready. Ask the hotel about luggage storage, and tell us whether the coach should take the group straight to a first activity or to the hotel lobby.
It is tempting to add a car for the leaders, a van for the bags and a coach for the guests. Sometimes that is right, for example with a very senior leader. For most 40-guest parties it adds cost and confusion. One 50-seater, with the leaders on board, keeps the group together and makes every decision simpler.
A coach of 40 runs best when the guests have been briefed. Send a short message the night before. The pick-up time and place. The coach number or colour. The leader’s phone number. What to bring: water, a hat, a light layer for the cool cabin, and a copy of the day plan.
Say clearly that the coach leaves at the stated time. Say how long each stop is. Say what happens if someone is late: a named leader will message them, and the coach will not wait longer than the time written on the schedule. People respect a plan that is stated and kept.
If some guests speak little English, a one-page plan with times and photos of the stops helps more than a long email. The driver cannot translate for 40 people, and a clear sheet saves the leader dozens of questions.
Ask for a fixed written quote through the booking page with the maximum headcount, the addresses and the bag count. The price page at bus rental prices in Dubai lists every starting figure. Larger parties are covered on the 100 guests page.
If your plan has an early-morning airport run and a late-night return on the same day, say so. The driver hours and the vehicle hours are both counted, and a long split day may be better served by two shorter bookings than by one very long one. We will tell you which is likely to cost less.
Keep the quote and the final plan side by side. If the plan changes, tell us. A written change is easy to price, and a change agreed on the phone on the day is not.
