Planner guide

At a gala, the exit sets the fleet.

Guests drift in over half an hour and leave all at once. That lopsidedness is the whole planning problem for a gala dinner. Here is how to cut the arrival into waves, why the way home decides how many coaches you need, and a 300-guest evening on the clock.

Three parts to one evening

A gala dinner has an arrival, a long middle and an exit. The arrival is gentle, since guests trickle in over about half an hour. The middle is quiet for the drivers and expensive for the clock. The exit is sharp. When the last award is handed out, everyone wants a coach at once, or a few stay for an after-party and leave in a trickle over two hours.

That asymmetry matters. A conference shuttle runs a loop all day and reuses its coaches. A gala does not. The coach that brings a hotel’s guests usually waits at the venue and takes them home, so the evening is sized by the exit. Our event transport page describes the same two shapes of night. For a daily conference loop, see the shuttle bus sizing guide instead.

We move your guests. The venue, the caterer, the programme and the seating plan are yours.

Gather these numbers first

  • Guests, and how many of them will use your coaches. Some will come with hosts or arrange their own cars.
  • Guests per hotel. The coaches are planned hotel by hotel.
  • Doors, seated time and the time the programme ends.
  • Whether the night ends with one exit or a long tail. Ask the programme team, and be honest about the after-party.
  • Your leg time from each hotel to the venue, timed at the hour you will travel. We do not print one.
  • How many coaches the venue’s drop-off point can take at once, and where empty coaches stand.

A worked example: 300 guests, three hotels

Assume 300 guests. We plan 85 per cent on coaches, which is 255. The other 45 are hosts and guests who arrange their own cars. The 255 split as 120 at hotel 1, 90 at hotel 2 and 45 at hotel 3.

The vehicle is the 50-seater coach with a 90 per cent fill target, so 45 guests a run. Hotel 1 needs three coaches (45, 45 and 30), hotel 2 needs two, and hotel 3 needs one. That is six coaches. The venue opens at 18:30, dinner is seated at 19:45 and the programme ends at 22:30. Assume 25 per cent of guests stay on after the programme.

Arrival: two waves, because the same coach cannot do both

Cut the arrival into waves about 30 minutes apart, so the unloading point is never crowded. In the example, three coaches go in wave 1 and three in wave 2. The leg times are assumptions: 25 minutes from hotel 1, 30 from hotel 2 and 40 from hotel 3.

Could the wave 1 coaches go back and do wave 2? Only if a full cycle is shorter than the gap between waves. A cycle is the leg out, unloading, the leg back and loading. At 25 to 40 minutes a leg, it is far over 30, so each coach does one outbound run. If your hotels are five minutes from the venue, the answer changes and three coaches could be enough for the arrival. The exit will still need six.

The long middle

After the drop-off the coaches wait. Ask the venue where empty coaches stand. Some venues have their own rules for where a coach may stop and wait, and we check them before the day. The drivers stay with their vehicles and the group keeps one phone number for each coach.

The waiting is a line on the quote, not a surprise. Our quotes show the hours, the waiting allowance and the rate after it, and there is no surcharge for late nights or public holidays. Short jobs such as a single evening transfer can be booked by the hour from four hours, and our guide to what is in a bus rental quote explains how to read those lines.

If the dinner is in the desert or on a beach, check the access before you book coaches. A sand track or a narrow service lane can mean a smaller vehicle, or a meeting point where the camp moves guests in its own cars. The desert group transport guide goes through that.

The exit: line them up in the order they leave

For a single exit, line the coaches up as close to the door as the venue allows, in the order they will leave. Give each guest a coach number on the invitation or the seat card, so nobody walks along the line looking for theirs. Assume 75 per cent of guests leave at the end of the programme, which is 191.

Five coaches clear the door in 20 minutes. The sixth, C6, stays for the tail. Note that coaches are dedicated by hotel on the way home as well, so nobody needs a second run and no hotel waits for a coach that is still out.

The tail: keep one coach, not six

The remaining 64 guests leave when they choose. Holding six coaches and six drivers until 01:00 for 64 people is the expensive answer. The better one is a smaller number of scheduled departures. In the example C6 takes about 32 guests at 23:45 and another 32 at 00:45, calling at hotels 1, 2 and 3 in that order. Print the two times on a card at the bar.

A tail of 20 to 30 people suits a 30-seater mini coach, which has 22 to 30 seats, so plan on 22 a run. Use your RSVP data to guess the tail. Where it is uncertain, keep a spare vehicle on call.

Hosts, speakers and the table at the front

The guest of honour, the sponsors and the people who open the evening often travel apart from the coaches. A Mercedes V-Class or an executive sedan can meet them at their hotel and wait at the door, all on the same quote. Our VIP and events service covers that side of the night.

For larger events a coordinator stays on the ground, so the drivers drive and one person calls the loads. Give that person the coach numbers, the guest counts and the exit order.

What to send for a quote

Send the date, the venue, the hotels with the guests expected at each, the doors, the seated time and the finish. Tell us whether the night has an after-party and how large you expect the tail to be. We reply with a fixed written quote listing each coach, each hotel and the hours. If the same group also arrives by air, the conference airport shuttle plan covers that, and the coach rental page explains how coaches are hired.

Frequently asked.

Quick answers for this trip.

How many coaches does a gala for 300 need?

It depends on how many ride, on how they split by hotel and on the exit. In our example 255 guests by coach at 45 a run need six coaches, because the way home cannot reuse them.

Why does the exit set the fleet?

Guests arrive over about half an hour but leave together. Coaches wait for the end, so the number needed for the exit is the number you hire.

Can the arrival coaches do two waves?

Only if a full cycle is shorter than the gap between waves. With legs of 25 minutes or more it is not, so each coach does one outbound run.

What happens to guests who stay for the after-party?

Plan a small number of scheduled late departures on one coach, and print the times for guests. That is better than holding every coach until the last guest.

Do the coaches wait at the venue?

Yes. The waiting is on the quote as hours and a waiting allowance. Ask the venue where empty coaches stand.

Can VIP cars sit on the same quote?

Yes. A V-Class or an executive sedan can wait at the hotel door and the venue, and sit on the same written quote as the coaches.

Do you run the dinner or book the venue?

No. We move the guests. The venue, caterer and programme are yours.

Is there a surcharge for a late finish?

There is no surcharge for late nights or public holidays. Time beyond the booked hours is charged at the hourly rate written on your quote.
