Nobody budgets for a bus. They budget for people. So the useful number is what each employee costs to move, and you can work it out from a vehicle’s day rate and the seats you fill. Here is the sum, with examples.

A finance team looks at a staff bus and sees a monthly invoice. An HR manager looks at the same bus and sees forty people arriving on time. Neither view helps until you put them together: the invoice divided by the number of employees who ride. That figure can sit beside a transport allowance, a taxi budget or a lateness record, and the comparison is fair.
We do not publish monthly prices for staff routes. They depend on the shifts, the distances and the number of runs, so a monthly contract is quoted on request for your schedule. What we do publish is the day rate for each vehicle, and day rates are enough to show how the arithmetic behaves. The figures on this page are that arithmetic, not offers.

Get a quoteTake the vehicle’s day rate. Divide it by the number of employees on board. The answer is the cost per employee for that day. Multiply by the working days in your month, and you have a monthly figure per person to test against your current spend.
Our day rate covers up to 10 hours within Dubai, with driver and fuel. Salik and Darb tolls, parking and anything outside Dubai are listed on the written quote. Where VAT applies, it is shown on the quote and the invoice.
| Vehicle | Our starting price | Per employee, full vehicle |
|---|---|---|
| 13-seater van | From AED 900 per day | About AED 69 |
| Mercedes Sprinter, 16 seats | From AED 2,450 per day | About AED 153 |
| 30-seater mini coach | From AED 1,100 per day | About AED 37 to 50 |
| 50-seater coach | From AED 1,450 per day | About AED 29 |
The mini coach range runs from AED 50 (22 seats) to AED 37 (30 seats). The van, the mini coach and the coach get cheaper per head as they get bigger, because the day rate rises slowly while the seat count rises much faster. The Sprinter is the exception: it is an executive vehicle, so it costs more per head than any of them.
Cost per employee depends on how full the vehicle is. A 50-seater has the lowest cost per head only when you put 50 people in it.
| On board | Vehicle | Per employee, per day |
|---|---|---|
| 50 employees | 50-seater coach | About AED 29 |
| 40 employees | 50-seater coach | About AED 36 |
| 30 employees | 50-seater coach | About AED 48 |
| 30 employees | 30-seater mini coach | About AED 37 |
The last two rows are the point. Thirty people in a coach cost more per head than thirty people in a mini coach, because the unused seats are still paid for. So size the vehicle to the busiest run, with a few seats spare for joiners, and not to the biggest number anyone mentioned in a meeting.
These are examples built from our starting day rates. They show the method. Your own quote depends on your addresses, shifts and working days, and a recurring contract is priced on its own schedule, so it can come out higher or lower than the arithmetic here.
Example: an office of 14 in Business Bay, one Sprinter. From AED 2,450 per day, which is about AED 175 per employee per day. Over 22 working days that is roughly AED 3,850 per person at day-rate arithmetic. It looks high beside the coach figures, and it is. The sensible comparison is a transport allowance for the same 14 people, or the lateness the team currently has.
Example: a beach hotel, 28 staff early and 6 late. A mini coach for the early run (from AED 1,100) and a 13-seater van for the late one (from AED 900) come to from AED 2,000 a day for 34 people. That is about AED 59 each. Both vehicles have slack in the day, so we would ask whether either can serve a second job.
Example: a warehouse in Jebel Ali, 70 workers. A 50-seater and a 30-seater together are from AED 2,550 a day, about AED 36 each. At 22 days that is from AED 56,100 for the group, or around AED 801 per worker. The ten spare seats absorb new joiners without changing the figure.
Example: five nurses on night rotation, one car. A Mercedes V-Class from AED 1,150 a day is about AED 230 each. Small groups cost the most per head, and no clever planning changes that. Often the right answer is to share one vehicle across two teams on different shifts, or to fall back on taxis for the few trips that do not fit a route.
Four things move it, and you control most of them.
The staff transport page explains how routes are planned around shifts, and monthly bus rental covers a dedicated vehicle for a longer stretch.
The comparison only works if you count everything on both sides. For your current arrangement, add up a month of transport allowances, taxi and ride-hailing claims, and any overtime or lost time from late arrivals, if you track it. Divide by the number of employees covered. Do not forget the admin hours spent processing claims.
For the bus, use the quote divided by the employees who will really ride, including the tolls and parking that are listed on it. Be honest about take-up. If a third of the team will keep driving or sharing a car, count only two thirds of the headcount.
Some companies end up with a mix. A bus for the early and late shifts, when public transport is thin, and an allowance for daytime office staff. Price both halves before you put everyone on one system. If the monthly figure looks wrong for what you see here, ask for a second quote with different pick-up points, and compare.
Sometimes a bus is simply dearer per head. Small teams, scattered homes and irregular shifts all push the figure up. That does not make the bus a bad idea if the alternative is people arriving late on a six o’clock changeover. It means you should ask what you are buying: reliability, a safer commute, or a single cost to approve each month.
If the answer is one of those, a bus is worth pricing. If the only goal is the lowest possible spend and the team is small and scattered, an allowance is probably cheaper, and we would tell you so.
Send us the home areas or accommodation addresses, the workplace and gate, shift start and finish times, working days and the headcount on each shift. A simple spreadsheet is ideal. We reply with a written quote per route that names the vehicles, the timetable and what is included, and nothing is charged until you confirm. For regular transport, a corporate account gives one consolidated monthly invoice.

Quick answers for this trip.
It depends on how full the vehicle is and how many runs a day it makes. As arithmetic, a 50-seater from AED 1,450 per day carrying 50 people is about AED 29 each per day. A monthly contract is quoted on request for your schedule.
Divide the vehicle’s price for the day by the employees on board, then multiply by working days. Use the people who will really ride, not the whole headcount, and include tolls and parking from the quote.
The day rate covers driver and fuel for up to 10 hours within Dubai. Salik and Darb tolls and parking are listed on the written quote, so you can see them before you confirm.
We quote it on request, because the price depends on your runs, distances and working days. Ask for the monthly figure and compare it with the day-rate arithmetic for your own route.
When full, the 50-seater coach. When it is only part full, a smaller vehicle often wins. Thirty people cost less per head in a 30-seater mini coach than in a 50-seater coach.
Where VAT applies it is shown on the quote and on the invoice. Ask your finance team how it applies to your company, and confirm the details with the tax authority if you are unsure.
Tell us as soon as you know. Joiners and leavers can change the vehicle size, so we review the route with you rather than keep paying for empty seats.
Yes. Companies on a corporate account can have the monthly invoice broken down by cost centre on request.
