When a couple plans a wedding abroad, the guest list becomes a logistics problem before it becomes a party. Transport for a Dubai destination wedding is really three separate jobs, and mixing them up is the commonest source of confusion. The first is arrivals: getting people from the airport to their hotels over two or three days. The second is the wedding day itself: hotel to venue and back. The third is the departures, which tend to be messier than anyone plans for because people leave on different flights after a late night.
We quote each job on its own lines, so the couple, or the wedding planner acting for them, can see what each day costs. Everything is driven by professional drivers in our own vehicles. We do not plan the wedding, supply the venue or sell anything except transport.
Prices depend on the date and group size. Get yours in a minute.
Get my priceGuests from India, the UK, Europe and the Americas do not land together. A family from Mumbai may arrive in the afternoon, cousins from London the next morning, and a friend connecting through another hub at midnight. Ask each household for a flight number and collect them in one sheet. We use that sheet to plan the pickups.
For the main arrival day, a Mercedes Sprinter or a mini coach can wait for several flights landing within about an hour of each other, with a driver and a name board in the hall. Spread-out arrivals are better served by a smaller vehicle on a loop. Our big group arrival guide explains how a hall pickup works, and the airport transfer page covers single arrivals.
One rule helps a lot: do not promise a fixed pickup time to every guest. Promise a window, and let the driver track the actual landing time.
Count the guests who need a seat for the ceremony and for the reception, which may be different people. Children count. So do the photographer and the planner if they are riding along.
| Guests moving together | Usual vehicle | Starting price |
|---|---|---|
| Up to 13 | 13-seater van | From AED 900 per day |
| Up to 16 | Mercedes Sprinter | From AED 2,450 per day |
| Up to 30 | Mini coach | From AED 1,100 per day |
| Up to 50 | 50-seater coach | From AED 1,450 per day |
Starting prices cover a full day of up to 10 hours with driver and fuel. A shorter wedding shuttle can be booked by the hour instead, with the minimum hours confirmed on the quote. Your written quote confirms the exact price for your date, route and hours.
Most hotels and venues in Dubai have limited access for large vehicles, which is why a mini coach is often the better choice for a villa or a beach-club venue than a 50-seater.
The ceremony is easy to schedule. The return is not, because nobody knows when the evening will end. Elderly relatives want to leave at ten, the young cousins at two in the morning, and the couple will leave last.
The cleanest answer is two departure waves, agreed in advance and written on the quote: an early shuttle and a late one. The driver stays on site between the waves, which is paid as waiting time. If the party is still going at the agreed end, a person from the family should be named to tell the driver whether to wait. That is a decision for the couple’s side, not for us, and it avoids a driver being asked by five different uncles.
This is an example only, to show how the numbers build. Sixty guests stay at one hotel. The ceremony is at a venue outside the city centre at 17:00, and the reception follows at the same place. One 50-seater coach and one 13-seater van carry 63 people between them.
At starting rates that is AED 1,450 plus AED 900, so AED 2,350 for the day, before any extra hours, tolls or waiting that your own route needs. Your written quote sets the true figure. Splitting the guests across two vehicles also gives you a natural early group and late group for the return.
Families travel in clusters, with grandparents, young children and a stack of bags. Keep clusters together on one vehicle where you can, and tell the group leader which seats are for older guests near the door. A full-size coach has a few steps at the door; if a relative uses a walking aid, mention it when you ask for the quote and we plan the boarding.
Dress is also a practical point. Wedding outfits with long trains or heavy shawls take space, and a guest in a sari or lehenga needs a little more room on the step. Rather than packing the coach to the last seat, plan for about 85 to 90 percent full.
The driver handles the vehicle, the route, the venue gate and the timing. The couple’s side, or the planner, names one coordinator who tells the driver when to leave. Guests need only one thing: a printed or messaged card with the pickup point and time. We send the driver’s name and number before the day for the coordinator to share.
Permits for the venue, any guest list checks at the gate, and the schedule of the ceremony itself belong to the venue and the planner. Check with them for the details.
Send the wedding date, the hotels, the venue name, the number of guests per leg and a flight sheet to the booking page, or compare options first on the price page. The same guest transport thinking works for other events, and if you are hiring a car for the couple, see the wedding car with driver page and the wedding car booking guide.
Weddings cluster in the cooler months, October to April, and on weekends. Ask early for fixed dates. We do not give visa advice: check the official ICP and GDRFA sites for your guests’ entry rules.

Quick answers for this trip.
A 13-seater van takes up to 13, a Sprinter up to 16, a mini coach 22 to 30 and a full coach 50. Seats are for passengers only. The driver is not counted.
It can, but they are different jobs with different timing. Most weddings use a smaller vehicle on rolling arrival loops and a coach for the wedding day itself. Ask for both on one quote.
Send each flight number. The driver tracks the actual landing time, and we group guests who land close together into the same pickup. Guests with a long gap may be better served by a later loop.
Yes, if the quote includes waiting. The driver stays nearby and returns to the meeting point at the time your coordinator agrees.
Ask us when you request the quote. We can say what is possible for a particular vehicle, and any extras are written on the quote.
Starting prices begin at AED 900 per day for the 13-seater van, AED 1,100 for the mini coach and AED 1,450 for the 50-seater coach, each for up to 10 hours with driver and fuel. Ask for a fixed written quote for the exact price.
As soon as the date and guest count are firm. Weekends in the cooler months fill early, so two to four weeks is sensible. Changes and cancellations follow the terms on your written quote.
Yes. List each hotel and the number of guests staying there. We plan the route and give a time for each pickup.
No. Check with the airline and the official ICP and GDRFA sites for entry rules.
