Your Dubai school trip, the coach questions.
If you lead a school visit from England to Dubai, the Department for Education guidance tells you what to check about an outside organisation before you book. It does not name a coach firm or a country. This page sets out what the guidance asks, turns each item into a question you can put to any transport provider, and says plainly what this page cannot tell you about us.

What the guidance says
The DfE guidance on health and safety on educational visits was published on 26 November 2018 and applies to England. We read it on 31 October 2026. If your school is in Scotland, Wales or Northern Ireland, use the guidance for your own nation, which we have not read.
For a school that uses an outside organisation, the guidance says the school must check that the organisation has appropriate safety standards and public liability insurance. If the organisation does not hold the Learning Outside the Classroom Quality Badge, the school must make sure the organisation is appropriate. The guidance lists what to look at. We turn the list into questions below.
We are not the DfE, and the DfE has not approved or recommended us. This is a reader’s guide to a public document. Check the original, since it can be updated.

Get a quoteThe checklist as questions for a coach provider
The left column is the guidance’s own list, paraphrased. The right column is a question you can put to any firm. They are questions only. Read the answers you get in writing.
| The guidance asks you to check | A question to put to the provider |
|---|---|
| Insurance | What insurance covers the vehicle, the driver and the passengers, and can you send the certificate? |
| Legal requirements | Which licence or permit covers carrying a school group, and who issued it? |
| Health and safety and emergency policies | Do you have written policies, and what happens if something goes wrong during the day? |
| Risk assessments and control measures | Can you share what you assess for our route and timings? |
| Use of vehicles | Which vehicle carries us, how many seats does the quote cover, and what are its fittings? |
| Staff competence | Who drives us each day, and what is their experience? |
| Safeguarding | What is your policy for adults who will be with pupils? |
| Accommodation | Does your work touch our hotels, and if so how? |
| Sub-contracting | Will any part of our trip be carried out by another firm? |
| A licence where needed | Which local licence applies, and can we see it? |
The guidance also says the school should have an agreement that makes clear who is responsible for what, especially if the provider takes over supervision. A driver supplies a vehicle and does not supervise pupils, so write that down with the provider.
Trips abroad
The guidance says trips abroad bring extra risks and need a higher level of risk assessment. It says schools should make sure activity providers hold the Quality Badge “or similar local accreditation”. We looked for a UAE equivalent of the badge and did not find one. So the substitute is the question column above, answered in writing.
The guidance notes that the Health and Safety Executive does not cover incidents overseas, though it can look at work done in Britain in support of a trip, and that staff can be liable under civil law. It asks schools to have an emergency response plan for incidents away from school and a communications plan. It says written parent consent is always needed for nursery age pupils and is usually needed for trips with a higher level of risk assessment or outside school hours, and that schools should still tell parents. Each school should appoint an educational visits coordinator who is confident assessing outside providers.
For the destination, the guidance points to Foreign Office travel advice. We do not summarise it. Read the current UK government travel advice for the UAE close to your date.
What this page cannot tell you about us
We supply a vehicle and a driver. Questions about licences, insurance, seat fittings and similar items are for you to put to us in writing, and for us to answer in writing. This page does not say that our firm meets any item in the table, and nothing here replaces a written answer.
So send the questions with your request. Read what comes back, keep it with your risk assessment, and do not confirm until your educational visits coordinator is content. A licensed guide can be arranged for a fee: ask when you request a quote. Our driver is not a guide.
Planning the dates
A spring term or Easter trip is planned months ahead. English half-term dates are set locally, and we could not find them at one official source, so we give none. These dates may help you place a trip. Easter Sunday 2027 falls on 28 March, with Good Friday on 26 March and Easter Monday on 29 March, which are the England and Wales bank holidays. Ramadan 2027 is expected to begin around 8 February, subject to moon sighting, according to a report quoting the UAE Astronomy Centre. A February trip may overlap its first days.
The UAE is 4 hours ahead of the UK until the UK clocks go forward on 28 March 2027, and 3 hours ahead after that. These are our calculated figures. For the full table, see UAE time difference for booking from abroad.
Planning the day
Here is an example sum, not a promise. A party of 44 pupils and 6 adults is 50 people. A 50-seater coach holds 50, so there is no spare seat, and one more person means a second vehicle. Ask the quote to state the number of seats it covers and the number of people it assumes.
Our headcount and seating plan for student coaches works through this. Our school bus rental in Dubai and school trip bus cost pages show how we describe school groups, and our study tour page covers older students. This page is the visit leader’s side.
Choosing the vehicle
Count pupils and adults first, then bags. Our guide figures:
- 13-seater HiAce: up to 13 passengers and about 10 suitcases.
- Mercedes Sprinter: up to 16 passengers and up to 12 suitcases.
- 30-seater mini coach and 50-seater coach for a year group.
How a booked vehicle fits
- Send the plan and your questions. Dates, hotel area, party size, the days you need a vehicle, and the checklist questions above.
- Ask for a fixed written quote. Nothing is charged until you confirm.
- Read the pick-up and drop-off arrangement. The quote states it, along with the answers to your questions.
- Agree the times. We plan the margin and tell you what is not yet published.
- Tell us if plans change. We adjust where we can, and cannot promise to beat traffic.

Frequently asked.
Quick answers for this trip.
What does the DfE guidance ask a school to check about an outside provider?
The guidance says a school should check an outside organisation has appropriate safety standards and public liability insurance, and lists items such as legal requirements, risk assessments, use of vehicles, staff competence, sub-contracting and a licence where needed. Read the full text on gov.uk.
Does the guidance apply to schools in Scotland, Wales or Northern Ireland?
The DfE guidance applies to England. We have not read the guidance for the other nations of the UK, so use your own nation’s.
Is there a UAE version of the Quality Badge?
The guidance mentions “similar local accreditation” for trips abroad. We looked for a UAE equivalent and did not find one, so ask the provider in writing instead.
Do you hold the licences and insurance the guidance mentions?
This page makes no statement about that. Put each question to us with your request, and read our written answers before you confirm.
Do you supply a guide?
We supply the vehicle and a driver. A licensed guide can be arranged for a fee: ask when you request a quote. The driver is not a guide.
When should I check the UK travel advice?
The guidance points schools to Foreign Office advice. Read the current UK government advice for the UAE close to your date, and again before you travel.
Can a coach carry a whole year group?
It depends on the headcount. Our 50-seater coach carries up to 50 including adults, and a larger party needs a second vehicle. See headcount and seating plan for student coaches.
