Instruments and gear, through Dubai customs.
A band, a school orchestra, a sports squad or a photography party all arrive with cases that a normal tourist does not have. The organiser’s question is simple: what can we carry in without a problem, and what needs a permit? This page sets out what Dubai Customs, the UAE government portal and Dubai Airports publish, shows where the published sources stop, and explains where the ground transfer fits. It is not legal or tax advice.

What Dubai Customs says
Dubai Customs publishes a list of personal effects that travellers may bring in free of duty. It names photo and video cameras with their accessories, projectors, telescopes, portable musical instruments, radios and audio players, mobile phones, portable televisions, PCs and laptops, calculators, baby strollers, special needs pushchairs and wheelchairs, and sports equipment.
So a violin, a guitar, a camera body and a bag of rackets all sit on the duty-free list. The words that matter are “personal” and “portable”. The list is about effects that travel with a passenger, not stock to sell and not a shipment. We are a ground transport company. We do not clear customs for anyone, and we cannot confirm whether a particular item is covered.

Get a quoteWhat the government portal adds
The UAE government portal, updated on 27 October 2026, gives a similar list. It adds medication for personal use that complies with the regulations, and it says gifts, perfumes and personal luggage are exempt from duty up to AED 3,000 in value. The conditions are that the quantity is limited, the goods are not commercial, and the passenger is not a frequent traveller with goods or a crew member.
Dubai’s Passenger Customs Guide (version 6, 2025) says excess personal quantities pay duty and may also pay VAT, and that commercial quantities follow the normal import procedure. It also says commercial samples imported into the GCC with a value up to AED 5,000 are exempt from duty. A touring band with merchandise to sell, or a team with kit to leave behind, should ask Dubai Customs which side of that line it is on.
Kit that may need a permit
The same guide shows groups of goods that need a permit from the relevant authority. The groups it names include medicines and medical equipment, print and audio-visual material, cosmetics for exhibition use, drones, filming equipment for news, movies or official events, food products, domestic animals, plants and seedlings, wireless devices, and electronic devices of all kinds.
That last group looks odd beside the duty-free list, which names laptops and phones. We do not settle it for you. If your kit includes anything electronic beyond a camera and a laptop, such as a transmitter, a wireless microphone system or a drone, ask Dubai Customs and the authority concerned before you fly.
| Goods | Authority, as the portal lists it |
|---|---|
| Medicines and medical equipment | Ministry of Health and Prevention |
| Wireless and transmission devices | Telecommunications and Digital Government Regulatory Authority |
| Media publications and products | Ministry of Culture and Youth |
| Live animals and plants | Ministry of Climate Change and Environment |
Medicines, batteries and big cases
The airport’s FAQ says to carry medicines in your hand luggage, in their original packaging, with a prescription if possible. It also says some medicines are not allowed on arrival without approval from the airline and the health ministry. Medication is exempt from the 100 ml liquids rule, says the airport’s baggage page, and power banks go in hand luggage.
The same page says bags larger than 90 x 75 x 60 cm, or with no single flat side, go to the oversized baggage counter, and to allow extra time. Check your cases against that rule with your airline before the day. Dubai Airports’ site also mentions an app called iDeclare for submitting a customs declaration on the go. Its page presents the app for guests with disabilities, so ask Dubai Customs if it suits your group.
What we could not find
We found no usable rules for a temporary admission document or carnet for professional kit. We could not open the Dubai film commission permit rules. We found no official statement on whether a visitor may fly a drone. We do not cover those, and we do not say that a drone, film kit or sample stock is allowed.
For medicines, the health ministry’s permit page did not open for us, and two other sources disagreed on the permit and the limit. So we give no quantity and no number of days. Ask the health ministry, and carry the prescription.
Several events in the region were postponed or cancelled in 2026. If your trip is tied to a show or a fixture, check the organiser’s notices before you book transport. If dates change, we adjust the quote.
Planning the group
A short method works well. Make one list of every case, with its owner and what is in it. Sort the list into three piles: personal items that are on the duty-free list, items that look like they sit in a permit group, and anything that is stock or for sale. Send the second and third piles to Dubai Customs before you fly, and keep the replies with the group’s papers.
For an example, a school orchestra of 24 brings violins, a few brass cases and a laptop for sound. The leader puts the instruments in the first pile, asks about the wireless microphones in the second, and carries a printed list to the airport. Your own group and kit will change the sum.
Customs and bag collection also take time, and a long wait for a case that is checked or flagged can change when the vehicle should be at the terminal. Our guides to big group arrival at DXB, loading time for group luggage and passport control for groups show how we plan that clock. For teams on the road, see sports team and tournament transport.
Choosing the vehicle
Tell us how many people, and how many cases and of what kind, when you ask for a quote. We confirm what fits and do not guess from a description. Our guide figures:
- Mercedes V-Class: up to 7 passengers and 6 bags.
- 13-seater HiAce: up to 13 passengers and about 10 suitcases.
- Mercedes Sprinter: up to 16 passengers and up to 12 suitcases.
- 30-seater mini coach and 50-seater coach for squads and orchestras.
Our suitcase guide explains the luggage figures. We supply a vehicle and a driver, and a licensed guide can be arranged for a fee: ask when you request a quote.
How a booked vehicle fits
- Send the plan. Flights, terminals, hotel, party size, and the number and kind of cases.
- Ask for a fixed written quote. Nothing is charged until you confirm.
- Read the meeting and drop-off arrangement. The quote states it for each flight.
- Agree the pick-up time. We plan the margin and tell you what is not published.
- Tell us if plans change. We adjust where we can, and cannot promise to beat queues or traffic.

Dubai Customs lists portable musical instruments among the personal effects admitted free of duty. The words that matter are personal and portable. Stock or items for sale follow the normal import procedure.
Are cameras and sports equipment on the duty-free list?
Yes. Dubai Customs names cameras and accessories and sports equipment, and the government portal says personal sports equipment. Ask Dubai Customs about anything unusual.
Do we need a permit for a drone or filming equipment?
The customs guide places drones and filming equipment for news, movies or official events in the groups of goods that need a permit from the relevant authority. We could not find the permit rules, so ask before you fly.

The government portal says gifts, perfumes and personal luggage are exempt up to AED 3,000, in limited quantity and not for commercial use.
Can we bring our medicines?
The airport says to carry them in hand luggage in the original packaging, with a prescription if possible, and that some medicines need approval on arrival. We give no quantity. Ask the health ministry.
Is the iDeclare app for everyone?
Dubai Airports describes it on its page for guests with disabilities. Ask Dubai Customs whether your group can use it.
