Planner guide

Booking a Dubai airport pick-up for someone else.

You are in one country and the guest lands in another. You will not be in the arrivals hall, so the booking has to carry everything the driver and the guest need. Here is the list, in the order that saves the most back and forth.

Why a booking for someone else needs more detail

When a traveller books their own pick-up, any gap gets filled by the traveller on the day. When an assistant books for a visiting executive, nobody on your side is standing in the hall. The driver has the booking and nothing else. So the booking is the whole plan.

Our corporate chauffeur service is set up for this. Assistants can book for any traveller. The confirmation goes to the person who booked, and the name board shows the guest. That split is the point: you keep the paperwork, the guest gets the welcome.

The nearest general page is our Dubai airport transfer page, which is written for groups. This one is about a single guest or a small party and the person organising it from afar.

The checklist: what to send us

ItemWhy we ask
Guest’s full name, as it should appear on the boardThe driver holds it up in the arrivals hall
Flight number and dateWe track the flight, so an early landing or a delay moves the pick-up
Terminal, if you know itIf you only have the airline, send that and we confirm the terminal
Number of passengers and bagsSets the vehicle, from a sedan to a V-Class
Hotel or office, full name and areaSeveral Dubai hotels have near-identical names
A mobile number for the guestFor the day, if a bag is lost or a queue runs long
Your own contact detailsThe confirmation and any change go to you

Add anything unusual in the notes: a child seat, a wheelchair, a golf bag, a second guest arriving on a different flight. If you are not sure whether something matters, include it. A line you did not need costs nothing. A line you left out can cost the guest an hour.

The name board and the guest’s phone

The driver waits in the public arrivals hall, past customs, holding a name board with the name on your booking. Tell us whose name goes on it. For a guest who may prefer privacy, use the company name or an agreed short form, and tell the guest what to look for.

Ask the guest to keep a phone that works in the UAE switched on after landing. They do not need to message the driver on arrival, because the flight is tracked, but a working number is the fix for every small problem. If you want a second contact, such as the host in Dubai, give that number too.

The guide to meeting your driver at DXB explains where the driver waits, why the car is parked a short walk away and what to do if the guest has a long exit. Forward it with the confirmation.

What the guest should receive from you

You hold the confirmation. The guest needs a short message. Keep it to a few lines:

  • Who is meeting them, the name on the board and where in the arrivals hall to look, as stated in the confirmation.
  • The name of the hotel the car is taking them to, so they can check it against the booking.
  • A number to call in Dubai, yours or the host’s.
  • What to do if the flight changes: tell you, and you tell us.

For cars and vans, the driver’s details follow before pick-up. Pass them on when they arrive. We do not know in advance how early they will come, so ask us if the guest needs them by a particular time.

Choosing the vehicle for a visiting guest

One executive with a carry-on and a suitcase suits the executive sedan, which seats four and takes three bags. A delegation of three or four with cases, or a guest travelling with an assistant, may want more room, and the luxury SUV seats six with five bags. If the guest is flying First or Business with Emirates at Terminal 3, ask us about the dedicated exit when you book.

For a guest who should arrive as the occasion itself, a Rolls-Royce is an option. It seats four with two bags, so check the luggage first. Size the vehicle on the bags as well as the people.

The return leg, changes and invoices

Booking the departure at the same time saves you a second round of questions. Send the hotel, the flight and the date, and we work the pick-up back from the flight with the traffic at that hour in mind. Most airlines ask for around three hours before an international flight.

If the guest’s plans move, tell us as soon as you know. Changes and cancellations follow the terms on your written quote, so read that quote before you confirm. We send a fixed written quote first, usually within the hour, and nothing is charged until you confirm.

Companies that book often can run it on one account, with one monthly invoice, broken down by cost centre on request. Tell us if you need an invoice in a company name, and we confirm how it is addressed on your written quote.

If you are booking for several guests

Two guests on two flights are two bookings in effect. Send each flight, each name and each hotel. If they land close together, we can propose one vehicle with a wait, or one vehicle per flight, and the waiting time is written on the quote so you can compare. The group version of this is on our big group arrival page, and the vehicle sizes are compared in the HiAce, Sprinter, Coaster and 50-seater guide.

Send everything through the booking page. For cars and vans, 24 hours’ notice is usually enough. Between October and April, give more.

Frequently asked.

Quick answers for this trip.

Can an assistant book an airport pick-up for someone else?

Yes. Assistants can book for any traveller. The confirmation goes to the person who booked, and the name board shows the guest.

Who receives the confirmation, me or the guest?

You do, as the person who booked. Forward what the guest needs, such as the name on the board and the hotel. Tell us if the guest should also get a copy.

What name goes on the board?

Whatever you give us: the guest’s full name, the company name or a short agreed form. Tell the guest what to look for.

What if the guest’s flight is delayed or lands early?

We track the flight, so the pick-up moves with it. Airline delays do not count against the waiting allowance on your quote.

Do you need the guest’s phone number?

It helps a great deal. If the guest does not want to share one, give us a host contact in Dubai, and we confirm the arrangement in your written quote.

Can I add a child seat or a stop for the guest?

Child seats are free on request in our cars, SUVs and vans, so give us each child’s age. For a stop on the way, put it in the booking notes and we show it on the quote.

Can the company get an invoice?

Companies that book regularly can have one monthly invoice, broken down by cost centre on request. Tell us what you need and we confirm it in your written quote.

How do I get a price?

Ask for a fixed written quote through the booking page. It lists the vehicle, airport parking, tolls and the waiting allowance, and nothing is charged until you confirm.
